The Pivot Software Data Management Specialist provides high-quality customer service by ensuring that district assessment results are uploaded promptly and accurately into the Data Warehouse. Strong communication skills are necessary for developing and maintaining healthy working relationships with district leaders, especially assessment coordinators and technology staff members. The Pivot Software Data Management Specialist also serves on the Pivot Support Team at Five-Star Technology Solutions, helping to resolve customer concerns, contributing to problem-solving discussions, and actively suggesting improvements to the Pivot software platform.

The Data Management Specialist will work remotely U.S. residents only) and report to the Director of Product Experience.


  • Work closely with school districts and the Pivot Support Team to ensure timely, process-driven software setup and ongoing scheduled data management
  • When necessary, communicate with assessment vendor site representatives to ensure timely attention to our data file requests 
  • Access client assessment data from vendor sites, as necessary, and import the files into Pivot
  • Troubleshoot data file import issues as they arise on a client-by-client basis
  • Provide technical support services via ticketing system, phone, and email
  • Communicate regularly with clients to ensure customer satisfaction and to proactively assess the need for data and technical support
  • Attend weekly pivot support team and software meetings
  • Participate in periodic training sessions to improve comprehensive understanding of Pivot and other related job duties
  • Relay feedback received during client interactions to Director of Product Experience to inform product enhancements
  • Stay attuned to newer assessments, research needs for new template creation, and communicate need with upper management and convey information and need for new template creation
  • Maintain accurate records of work done and communication with districts
  • Maintain export/import Knowledge Base articles related to DMS content


  • Previous experience working with data files from Microsoft Excel including CSV (comma delimited) files
  • Demonstrate proficiency in the use of Microsoft Excel and data manipulation including sorting, filtering, and basic Excel formulas
  • Previous experience working with Google Apps including GMail, Google Drive, Google Docs and Sheets is preferred
  • Technical troubleshooting skills to handle support requests
  • Excellent communication skills in person, over the telephone, and in electronic communication
  • Strong attention to detail and inconsistencies
  • Previous experience working in a K-12 school district is preferred
  • Self-motivated and exhibit commitment to total customer satisfaction
  • Positive attitude and a commitment to being a team player
  • Ability to learn quickly and meet strict deadlines
  • Excellent organization skills
