Reporting to the CEO and serving as a member of the Management Group, this position's primary responsibility is ensuring organizational effectiveness by providing leadership for the organization's operational functions of the CEOs life, businesses, Staff and sales representative. Working with the management team, the position also contributes to the development and implementation of organizational strategies, policies and practices.

You act as a gatekeeper; vendors, salespeople and even clients must pass you to gain entry and face time with the CEO. The Personal Assistant works full-time and are sometimes called upon to work later and/or on weekends to accommodate the needs of the Group. In some cases, the Personal Assistant may be asked to accompany their Manager to out of town meetings. Serious inquires only please. Must have a minimum of 3 years experience as a Personal/Executive Assistant.

  • Acting as a first point of contact: dealing with correspondence, emails and phone calls
  • Managing diaries and organizing meetings and appointments, often controlling access to the CEO
  • Booking and arranging travel, transport and accommodation
  • Organizing events and conferences
  • Reminding the CEO of important tasks and deadlines
  • Typing, compiling and preparing reports, presentations and correspondence
  • Managing databases and filing systems
  • Implementing and maintaining procedures/administrative systems
  • Liaising with staff, suppliers and clients
  • Collating and filing expenses
  • Act as back-up for the other position when required.

Miscellaneous tasks to support their manager, which will vary according to the sector and to the manager’s remit, completing some corporate governance reporting (to ensure that the business is being run properly and complying with legislation and regulations) or conducting research. A knowledge of standard software packages and the ability to learn company-specific software if required.
