We're searching for a diligent office assistant to provide administrative support. You’ll be responsible for responding to all complaints and questions in a friendly and timely manner, implementing office standards to streamline our processes, scheduling appointments, ordering office equipment, and marketing our brand through community events.   • Increase productivity by creating record-keeping procedures for customer data filing systems
  • Answer phone calls and emails to act as a liaison between clients and staff members to improve customer retention and referral rates
  • Grow in the position through continued learning and revitalization of skillsets in related duties
  • Help build online marketing, brochures, email campaigns, etc. that highlight our services

  • Manage patient coordination including collecting intake paperwork, uploading documents, and inputting data into an electronic health records system
  • Communicate with billing department to ensure collection of fees and accurate billing information
  • Attend staff meetings, create agenda, and take minutes
  • Returning intake inquiries from both phone calls and website leads
  • Work with other part-time administrative assistants in tracking progress on tasks, to-do lists, maintaining analytical data, and budget
  • Filing, organizing, purchasing, and bill pay

  • Prior experience in office management or our industry is a plus
  • Associate's degree preferred but not required to apply
  • Display excellent written, problem-solving, and verbal communication skills
  • Proficient in basic computer software and can quickly learn to use new programs
  • Shows ability to quickly finish very detailed work
$15 - $17 hourly

Our organization is a fast-growing mental health group practice office with seven clinicians all specializing in various aspects of death, loss, grief, and trauma. We are the only organization in Delaware that serves the full spectrum of ages with this clinical focus. Our mission is to promote healing with bereaved and traumatized clients. We provide a variety of treatment modalities including EMDR, trauma-informed cognitive behavioral therapy, meaning reconstruction, and complicated grief therapy, and envision future opportunities such as group therapy, music and movement therapy, and yoga for grief and trauma.
