We’re looking for a motivated Real Estate Operations Manager to assist the principal broker and complete administrative tasks This manager is the master of systems, consistently seeking new, innovative, and efficient business processes that save time and money. As a key leader, the Director of Operations (DOO) increases the ability of the team to process transactions, freeing the Sales Team to focus more on generating transactions than closing them. This person relishes the opportunity to build, implement, and manage multiple systems, and is seen throughout the organization as the expert on efficiency and systems. Compensation:
- Salary: $60,000 - $65,000
- Bonus: $20,000 - $25,000 (based on performance, increases as the company grows)
- Expected First Year Earnings: $80,000 - $90,000

Responsibilities
- Take notes and deliver messages from phone calls, emails, memos or reports to the broker
- Serve as a liaison between the managing broker and clientele
- Complete administrative duties, like picking up orders, or other tasks as needed
- Purchase supplies and follow office protocols
- Utilize database to safely keep track of customer records
- Organization and Management
- Build, implement, and manage all systems for sellers, buyers, lead generation, database management, information management, and back-office support
- Create and maintain employee onboarding systems
- Help recruit agents to join the team
- Maintain the culture and customer care systems to ensure business growth and referrals from past, current, and future clients
- Help train and onboard new agents onto the team
- Maintain the books, pay the bills, handle payroll, assuring the collection of commissions, maintaining the budget, and generate financial reports
- Oversee all contracts through closing
- Create and maintain an operations manual that documents all systems and standards
- Attend training as needed
- Schedule travel and training
- Schedule and coordinate vendor visits to the team
- Master the systems and websites used in tracking our clients and contracts through Closing
- Supervises all administrative and marketing processes
- Continually look for ways to save money, increase sales & increase profitability
- Customer/Agent Relationship Building
- Build relationships with the clients
- Acts as the gatekeeper for Team Lead
Qualifications
- Possesses discernment for working with confidential information and tight deadlines
- Excellent communication skills and organizational skills
- Experience using word processing programs, spreadsheets and Multiple Listing Service
- Real estate experience preferred but not required
- High school diploma or equivalent required
- Incredibly service-oriented attitude
- An eye for design and marketing
- Very strong written and verbal communication skills used to keep all stakeholders informed at all times
- Exceptional organizational and project management abilities
- Learning-based, actively and independently seeking out answers when necessary
- Strong work ethic and timely with very flexible work hours
- Ability to focus and complete tasks in a fast-moving environment
