We're searching for a diligent office assistant to provide administrative support. You’ll be responsible for responding to all complaints and questions in a friendly and timely manner, implementing office standards to streamline our processes, scheduling appointments, and company trips, ordering office equipment, and marketing our brand through community events and print and digital mediums. Responsibilities
  • Work to create marketing opportunities and plan events for our customer base in the community to improve company reputation and visibility
  • Produce progress reports and present to the team on a regular basis
  • Utilize the website, social media, and printed materials to raise our visibility in the community
  • Strengthen existing abilities and gain new ones by participating in training opportunities
  • Purchase office equipment when appropriate

I. Business Management

  • Serve as a liaison between the Agents and clientele
  • Take notes and deliver messages from phone calls, emails, memos or reports to the Agents
  • Oversee the Agents’ schedules, team meetings, and travel arrangements
  • Run business-related errands
  • Design, catalog and maintain systems and processes
  • Prepare and Maintain Presentations - (pre-listing, listing, buyer consultation, showing

II. Marketing Management and Execution

  • Create, Manage and Publish monthly marketing calendar
  • Design and distribution of marketing content, tracking ROI on marketing campaigns
  • Identify social networking opportunities for Agents and manage to schedule
  • Event Planning and Coordination

III. Client Management and Conversion

  • Oversight on ALL Lead Generation Systems
  • Prospect relationship management to nurture and convert prospective clients to active clients
  • Development of follow up plans for clientele
  • Tracking ROI on Lead Generation Systems, making business recommendations, and cost benefits analysis
  • Closed Client Management
  • Referral Management

IV. Client Experience Coordination

  • Oversee all aspects of clients transactions from initial contact to executed purchase agreement
  • Prepare all listing materials
  • Consult and coordinate with clients regarding all property photos, staging, repairs, cleaning, signage, lockboxes, access requirements, and marketing activities
  • Obtain all necessary signatures on client contracts and materials
  • Coordinate showings and property/showing feedback
  • Broker Opens and Open Houses Coordination
  • Coordinating and Scheduling Showings & property Inspections
  • Provide proactive weekly feedback to sellers regarding all showings and marketing activities
  • Input all listing information into MLS and marketing websites and update as needed.
  • Prepare gifts and attend closings, update client relationship tools
  • Submit all necessary documentation to the office broker for file compliance
  • Request client reviews
  • Input all necessary information into client database and transaction management systems
  • Work directly with Transaction Coordinator to ensure clients receive timely communication and the opportunity closes

Qualifications
  • Shows great interpersonal skills and excellent written communication
  • High school diploma or GED required, some college experience preferred
  • Customer service, bookkeeping, or administrative experience is preferred
  • Technologically savvy; basic knowledge of Microsoft Office Word and Excel programs and filing systems with the ability to learn new programs quickly and troubleshoot common issues
  • Shows ability to quickly finish very detailed work
Compensation
$55,000 - $65,000 + Incentives
