The Operations Assistant will provide administrative support to the Chief Operations Officer and other brokerage staff.

• Provides administrative support and assistance to the Chief Operations Officer, brokerage staff, and agents
• Performs clerical and administrative tasks including drafting letters, scripts, memos, invoices, reports, and other documents for senior staff
• Schedules meetings for Chief Operations Officer
• Receives incoming communication or memos from clients, reviews content and determines importance, and summarizes and/or distributes content to appropriate staff
• Performs office management tasks including maintaining records, ordering supplies, and performing basic administrative tasks
• Responsible for planning and overseeing projects
• Performs additional duties as assigned
• Assist in coordinating training events

• Technologically savvy; able to learn new programs quickly and troubleshoot common issues
• Extremely proficient at creating and manipulating data in excel spreadsheets
• Maintain confidentiality
• Excellent verbal and written communication skills
• Outstanding customer service skills
• Excellent organizational skills and attention to detail
• Excellent time management skills with a proven ability to meet deadlines.
• Ability to function well in a fast-paced and at times stressful environment
• Ability to function well in an ever-changing environment by being adaptable and flexible
• Proficient with e-mail marketing software such as Mailchimp or Constant Contact
• Extensive knowledge of office administration, clerical procedures, and recordkeeping systems

Education and Experience:

• High school diploma required; College degree preferred
• Experience in Real Estate, Development, or Property Management helpful but not required
• At least three to five years of related experience required
