Seeking a talented Operations Assistant to support one of our Top Producing Agents. This candidate should be extremely well organized and will embrace the opportunity to turn the Lead Agent’s business and the team he manages into a well-oiled machine. After onboarding and training, the ability to master the current role with minimal supervision while also developing systems and operational strategies for future scalability is essential. Must be comfortable with customer-facing as needed and able to deliver unparalleled customer service. Attention to detail and a commitment to completing tasks with a high degree of efficiency and quality are required.

Responsibilities

  • Coordinate showing requests, property visits, and vendor referral requests
  • Database management including adding new leads, managing follow up plans and tasks, updating client info
  • Maintain organization of and monitor Lead Agent’s inbox, providing a concierge level of service, involving Lead Agent only when needing resolution to problems and issues
  • Build, implement, improve a “playbook” of systems and processes for each aspect of business
  • Oversee important deadlines for Lead Agent’s licensure and business filings
  • Follow up with past clients for testimonials and referrals
  • Hold Lead Agents accountable to their goals and ensure team members have the necessary tools, systems/models to perform at their best. Focus on growth (business and personal)!
  • Prepare client documents and provide property information from the Multiple Listing Service
  • Manage team performance trackers and scorecards
  • Communicate frequently with vendors, clients, and agents to ensure a smooth and seamless client experience
  • Approve closing and referral gifts and provide verbiage for social media “closing posts”
  • Create and manage the monthly schedule of a direct mail marketing
  • Attend regular professional development training

Qualifications

  • Must have a proven track record with business operations or 3-5 years of relevant experience
  • Ability to assess priorities while adapting to changing schedules and demands
  • Exemplifies a growth mindset
  • Comfortable working logically towards objectives with minimal supervision and full autonomy
  • Demonstrates a high level of customer service
  • Excellent written and verbal communication skills
  • Technologically proficient, able to learn new software quickly
  • Must have a reliable car and valid driver’s license
  • A real estate license or a desire to obtain one is also required
  • Flexible with working days and hours as needed - regular weekend work required

Compensation
$50,000 - $60,000
