We're hiring a creative, organized administrative assistant to provide extraordinary customer service to both our clients and agents. Responsibilities include answering all phone calls and emails quickly and kindly, making existing office systems more efficient, completing and organizing paperwork accurately, creating marketing materials and social media posts, and scheduling meetings and appointments, and supporting the team in various tasks as needed. Compensation:

  • $40,000 - $50,000 salary plus bonus potential

Responsibilities
  • Schedule appointments, including travel arrangements or other company engagements
  • Inform team members regularly about the status of projects and any setbacks or achievements
  • Work to create marketing opportunities and plan events for our customer base in the community to improve company reputation and visibility
  • Create and implement data entry protocols to streamline processes and increase productivity
  • Act as a point of contact for complaints or questions from customers and respond in a timely manner

  • Provide outstanding customer service experience throughout the transaction
  • Communicate regularly with the client to send them reminders, check in, and let them know what to expect in each step of the closing process
  • Establish relationships with all third parties including lenders, inspectors, appraisers, and all agents in order to ensure a smooth closing process and share relevant information
  • Answer client questions, phone calls, and emails in a timely manner
  • Support the team as needed to facilitate team success
  • Create and implement marketing materials, email blasts, and social media campaigns for listings and for the business
  • Plan and execute client events

Qualifications

  • Must be bilingual in Spanish
  • Strong customer service skills
  • Strong written & verbal communication skills
  • Exceptional organizational & project management abilities
  • Creative eye for design
  • Comfortable with social media
  • Experience with Canva or other design programs is preferred
  • Incredibly service-oriented attitude
  • Tech-savvy; up-to-date with the latest office gadgets and applications and able to navigate new systems quickly
  • Able to prioritize daily workload - can work on multiple projects at once
  • Exceptional critical thinking skills
  • Independent working with an ability to work at a fast pace
  • Detail-oriented and enjoyment completing a large volume of tasks
  • The candidate will need to be willing to obtain a real estate license upon hiring (Agent will reimburse)
  • Comfortable handling strong personalities
  • Must be thorough and LOVE to-do lists
  • This person must have a CAN and WILL DO attitude. This person will be willing to help out wherever needed to help the team succeed
  • This is a full-time, in office role.
