We're looking for a professional, friendly administrative assistant. Your primary job will be to serve as the first point of contact with all clients, providing excellent customer service. Additional administrative duties include increasing productivity by creating and following office protocols, scheduling important appointments and/or travel arrangements, purchasing office supplies as needed, and assisting in marketing our brand online and at events. Responsibilities
  • Increase productivity by creating record-keeping procedures for customer data filing systems
  • Strengthen existing abilities and gain new ones by participating in training opportunities
  • Facilitate communication between our customers and team to ensure customer satisfaction
  • Help build online marketing, brochures, email campaigns, etc. that highlight our services
  • Produce progress reports and present to the team on a regular basis

  • Open and maintain files; upload documents, submit docu-sign to clients, and maintain proper notes in system of correspondence and progress of file
  • Assisting in communication with clients, escrow/title, lenders, HOA companies, and cooperative agents
  • Ordering HOA resale packages and home warranties
  • Assisting with MLS input which includes verifying HOA info, tax records, SID/LID, uploading pictures
  • Order signs up or down when properties are listed or closed, register lockboxes
  • Maintain client database, ensuring accurate information and follow-up activities such as calls, handwritten notes, etc.
  • Scanning, printing, setting up documents in online folders
  • Answer main phone line and emails daily

Qualifications
  • Shows ability to quickly finish very detailed work
  • Shows great interpersonal skills and excellent written communication
  • Customer service, bookkeeping, or administrative experience is preferred
  • Technologically savvy; basic knowledge of Microsoft Office Word and Excel programs and filing systems with the ability to learn new programs quickly and troubleshoot common issues
  • Associate's degree preferred but not required to apply

Preferred Experience:

  • High school or equivalent (Required)

  • Real Estate industry: 1 year (Preferred)
  • Administrative Role: +1 year (Required)

Compensation
$11 - $15 hourly
