We're searching for a diligent office assistant to provide marketing and administrative support to commercial real estate brokers. You’ll be responsible for responding to all broker requests and questions in a friendly and timely manner, implementing office standards to streamline our processes, and marketing our listings through print and digital mediums. Applicants should be extremely thorough and possess excellent communication skills. Some background in real estate is a plus, but not required.

Compensation is dependent upon experience.

  • Answer and screen incoming telephone calls
  • Inform your Brokers regularly about the status of projects and any setbacks
  • Proofread and correct spelling, grammatical, and layout errors
  • Sort, prepare, and deliver incoming/outgoing mail
  • Assist with updating property listings
  • Organize client/visitor meetings and assist in preparing brokers for meetings
  • Prepares marketing materials including Offering Memorandums, Request for Proposals, and Marketing Packages using Microsoft Word and Adobe Creative Suite
  • Keep clients, broker team members, and administrative staff up to date on the status of deliverables, deadlines, and upcoming meetings
  • Generate, coordinate, and maintain confidential reports, correspondence, presentations, and other materials supporting the broker(s) activities with regular direction
  • Manage contacts and distribution lists, including database management
  • Maintain and update the branch database and proposals
  • Produce and maintain tables of comparable sales by category, size, and geographic location
  • Track all agreements and deals
  • Strengthen existing abilities and gain new ones by participating in training opportunities
  • Must be comfortable and willing to carry out basic admin office tasks (stocking supplies once delivered, answering the door for deliveries/guests, helping keep the conference room and common areas tidy)
  • Assist teams with printing and scanning
  • Must be diligent at checking email and keeping organized and on track with requests
  • Must be excellent at follow up
  • Perform special projects as required
  • Perform all general administrative duties as needed


  • Excellent Microsoft Office skills (Word and Excel used daily)
  • Adobe Suite experience is a must (we have brochures and flyers that need editing in InDesign)
  • Experience with AIR Contracts and CAR Forms a plus
  • Experience drafting proposals, correspondence, etc. is required
  • Ability to multitask is a must
  • Ability to format documents
  • Skilled/extensive experience in supporting multiple teams
  • Excellent oral and written capabilities
  • Prior experience in real estate or our industry is a plus
  • Prior experience in office administration or other related fields required
  • Proven track record of completing projects on time in an orderly manner
  • Proficient in basic computer software and can quickly learn to use new programs
  • Social Media Management experience is a plus
  • Excellent written and verbal communication skills
  • Strong attention to detail
  • Strong organizational skills
  • Must be able to commute to Santa Monica (ideally lives within a 10-mile radius of SM)
