Keller Williams Platinum Realty is seeking a Market Center Administrator (MCA), responsible for keeping the office and staff on track. Reporting to the Team Leader, the MCA’s job responsibilities cover three primary areas: 

  • Operations/administration
  • Accounting/human resources
  • Support/supervision

Responsibilities may be added, modified, or taken away as needed to best serve the Market Center. The Market Center Administrator should maintain a professional attitude and appearance at all time. Listed below are some specific responsibilities of the Market Center Administrator.



Responsibilities

Production and Transaction Management 

  • Ensure file compliance
  • Process closings and issue commission checks
  • Awards reports
  • Agent profit share returns
  • Monitor company money and special commission matters
  • Cross reference inventory
  • Sponsorship corrections

Payroll 

  • Process payroll (payroll service)
  • New employee set up 

Accounts Payable 

  • Vendor relations and records
  • A/P filing
  • Recording and paying bills

Accounts Receivable 

  • Agent invoices and credits
  • Collections
  • Credit card processing 

Banking 

  • Cash management and transfers
  • Make deposits
  • Bank records
  • Reconcile bank accounts 

Research and clear out all outstanding deposits and checks on bank reconciliations. 

  • Order checks
  • Credit card allocations 

General Ledger and General Financial 

  • Reconcile and track Balance Sheet accounts funds per as required/directed

  E&O 

  City business tax 

  Income tax 

  Depreciation (scheduled with CPA) 

  Expense prepaid accounts 

  Month and year end closing (transmittal) 

  Weekly and Monthly reports creation

  • Coordinate with Tax Accountant 
  • Regional and LLC Financial Packages
  • Productivity and Reports to TL for ALC Meeting
  • Budgeting & Projections
  • Financial Analysis, Custom Reports and Statistics
  • Profit Share Tracking and Reporting
  • Load all associates & print profit share statements
  • KW Cares Donation Tracking and Reporting
  • Special Event Budgets, Reconciliations and Vendor Negotiations 
  • Issue owner dividends and prepare related reports

Insurance 

  • Evaluate Insurance Programs
  • Claims, Bids and/or Enrollments in E&O, Property, Workers Compensation, Health/Dental

Technology 

  • Troubleshoot problems (server, voicemail, phone software programming)
  • Outsource advanced technology needs/vendors (evaluate need, interview, and recommend)
  • Research and purchase large items
  • Oversee routing maintenance and software on market center computers
  • Special projects

Compliance 

  • Corporate compliance 
  • Board of Realtors/MLS 
  • Real Estate Commission 
  • Secretary of State 
  • Employment Security Commission 
  • State and Federal Government

Business Licenses for local areas (calculate, prepare and pay taxes/fees)

Operations 

  • Records management and maintenance
  • Personnel 
  • Interviewing as required 
  • AVA/DISC assessment 
  • Staff training 
  • Participate in agent orientation classes 
  • Associate terminations and staff notification/procedure creation

Supervise Staff

DOFI / Front Desk Coverage, Agent Services, Assistant MCA, and Transaction Coordinator, as appropriate. 

  • Employee benefit coordination, enrollment and terminations 
  • Maintain Human Resource records 
  • Schedule and facilitate weekly staff meetings 
  • Facility Issues 
  • Coordinating with Property Manager (HVAC, plumbing, maintenance, lights, etc.) 
  • Issue office keys and manage door locks system 
  • Oversee space planning and renovations
  • Office furniture 
Research/quotes, purchase, and:
  • Ordering 
  • Tracking
  • Assist in contracts, policies, procedures, etc.
  • Assist team leaders and productivity coach with miscellaneous projects
  • Write standard operating procedures for all duties including vendor contracts

Qualifications

  • Minimum 3 years office admin/bookkeeping experience
  • Minimum 3 years proven leadership experience, leading an office in a supervisory capacity 

Compensation
$50,000 to $60,000
