Personal Assistant for the Marine Industry
We are seeking a reliable and experienced personal assistant to provide administrative and organizational support to our executive team in the marine industry. The ideal candidate should have a keen interest in the marine industry and possess excellent communication and organizational skills. The personal assistant will work closely with the executive team to ensure the smooth running of daily operations and support the execution of key business initiatives.
This is a part-time or full-time position, and the personal assistant will report directly to the executive team. The individual will need to be self-motivated and willing to learn and pick up many different roles within the company. We are willing to invest training in this individual if they are willing to learn and become a dedicated member of our team.
Responsibilities
- Manage and maintain the executive team's calendars, including scheduling meetings and appointments
- Screen incoming calls and emails, responding on behalf of the executives as needed
- Conduct research and prepare reports as needed for the executives
- Organize and manage travel arrangements, including flights, hotels, and transportation for the executives
- Assist in the bookkeeping processes through Quickbooks, including accounts payable and accounts receivable functions.
- Assist in preparing presentations and other materials for meetings and events
- Liaise with internal departments and external partners to facilitate smooth communication and coordination of projects
- Perform general administrative duties, such as filing, data entry, and other tasks as assigned
- Communicate with customers and help to resolve their questions or escalate the issue to the executive team.
- Brainstorm fresh ideas to bring to the table regarding process improvements.
Qualifications
- High school diploma or equivalent required; associate's or bachelor's degree in business administration or related field preferred
- 3+ years of experience as a personal assistant, executive assistant, or in a similar administrative role
- Excellent organizational and time-management skills
- Bookkeeping experience and/or knowledge of QuickBooks
- Strong attention to detail and ability to multitask in a fast-paced environment
- Excellent communication skills, both written and verbal
- Proficiency in Microsoft Office, particularly Outlook, Word, and Excel
- Knowledge of the marine industry is a plus
- Has a reliable form of transportation to and from the company office.
Compensation
$31,500
