We are searching for a listing coordinator who has a genuine desire to help others, takes pride in their quality of work, and also has the ability to multi-task and solve problems. Your job will be to manage the listing process from start to finish, including arranging all listing information on the MLS database, completing contracts with sellers, posting and maintaining MLS listings, scheduling property inspections, and open houses, and tracking sales activity in our database to properly showcase results. Responsibilities

  • Sell homes quickly by maintaining the listings on social media and in MLS to provide excellent customer satisfaction
  • Organize the showing schedule and communicate with other agents to understand the showing best practices and how to increase homes sold
  • Allow real estate agents to sell more homes by managing listings for sellers, from initial contact to executed purchase agreement
  • Prepare all listing information including property photography, pre-listing presentations, comparative market analysis, and online research for each property on the MLS database
  • Ensure file compliance for the office broker by sending completed listing agreements, sellers’ disclosures, and other documents
  • Act as liaison between real estate agents, clients, and attorneys, during the process of a real estate listing and effectively manage the administrative tasks involved in listing transactions
  • Create timelines and follow up with individuals, vendors, and clients as needed to ensure all deadlines are met
  • Maintain accurate and compliant files for all transactions
  • Create a house file (either in Dotloop, skyslope or physical) for all transactions
  • Schedule photos and videography with the team’s preferred photography vendors 
  • Schedule sign and lockbox placement
  • Schedule stager
  • Enter showing instructions into Showingtime 
  • Enter listing in the MLS and upload offer instructions, seller disclosure notice, and any other addendums
  • Understand the Listing Agreement in order to summarize all important terms, conditions, and dates
  • Communicate with the agent several times throughout the transaction including all important dates, missing documents, calendar reminders, file compliance status, etc
  • Communicate regularly with the client to send them reminders, check in, and let them know what to expect in each step of the listing process
  • Establish relationships with all third parties including photographers, stagers, vendors, and all agents in order to ensure a smooth listing process and share relevant information
  • Draft any addenda needed along the way and keep a record of them on file and ensure they are shared with relevant parties. Be the first point of contact/resource for all questions that arise throughout the listing process from agent (and client, attorneys.) 
  • Stay in good communication with the agent if any issues arise that they need to handle or negotiate
  • Coordinate Open Houses for all new listings between seller and agent hosting the open house
  • Notify the client about utility accounts to be activated during the duration of the listing
  • Put together the listing packet for the agent including any documents needing signatures/initials/dates/addendum
  • Update listing packet as needed
  • Update listing presentation document as needed
  • Post new listings on the AskOzzie.com Real Estate Facebook Page
  • Follow up with clients after the sale to check-in and request a testimonial/review

Qualifications

  • Thrives on providing excellent customer service
  • Able to use Excel to display data clearly, as well as use basic computer programs
  • Licensed in real estate or is pursuing a license
  • Must have a high school diploma or GED, some college experience is a bonus
  • Previous real estate, transaction coordination, titles, or mortgages experience is highly valued
  • NC Real Estate Sales License


Compensation
$30,000 to $55,000
