We are a top producing team in Burlingame. We are looking for a Listing Coordinator/Transaction Manager to grow and expand our core in-house team. You will provide comprehensive, high-level transactional support for the Lead Agents in all areas, and especially in supporting their roles as premier Agents. The role also encompasses all aspects of client care with the focus on delivering unforgettable WOW customer service that creates relationships for life and ensures an endless stream of referral business.

The Details:

Location/commute: Burlingame, CA. Candidate MUST live within a 45-minute commute of Burlingame and MUST have their own car, a valid driver’s license, and carry insurance.

Type of employment/hours: Full-time, M-F, 8:30am - 5:30pm, some flexibility on the evenings and weekends.

Compensation: Competitive salary based on experience plus bonus opportunities; experienced candidates could anticipate $60,000 - $70,000 plus bonus potential. 

Benefits: Paid time off. Bonus and commission opportunities available. Candidate will also have the option to earn their real estate license with costs covered by the employer.

Responsibilities

You are responsible for providing a concierge-level of service to clients and handling all transactions from Contract-to-Close. This is a hands-on, process-oriented, dynamic position where the details matter. 

  • Implement and manage checklist, action plans, systems and procedures, database and file management; database management (checklists galore!)
  • Process new listings and maintain excellent communication with clients throughout the entire transaction
  • Prepare the agent for listing presentations, manage listing paperwork, handle putting out signs and lockboxes
  • Oversee the coordination of marketing materials which includes advertising on websites and newspapers, overseeing real estate websites, editorial writing, brochures, etc.
  • Assist with marketing campaigns such as updating the MLS, sending and coordinating email blasts, and managing all social media platforms
  • Serve as the key contact person for clients by providing a concierge-level of service 
  • Complex calendar organization, task management, lead management, and holding your agent accountable for following up on leads 
  • Run errands as needed such as property and listing errands and delegation plus gift purchase and delivery
  • Helps Team increase business by nurturing and converting unassigned leads; decrease expenses
  • Maintain the website, including weekly audit for accurate information and working links, and update Team website with new listings, new solds and any changes in status along with any reviews or testimonials

Qualifications

Desired traits: 

The ideal candidate plays an active role in the listing process, pays attention to the details and knows how to prioritize their duties without direction. Our client seeks someone who will put the needs of the agent first and will handle all communication with a polished etiquette and finesse.

  • Have an ability to adapt to any situation/client need with a positive attitude
  • Have a deep capacity for understanding and communicating (i.e. the client whisperer)

  • Remain calm under pressure and be concerned with doing things right the first time
  • You would never say “that’s not my job…” 
  • Able to multitask, pivot and change priorities when needed
  • Nothing falls through the cracks because of your laser focus and sharp attention to detail  

Required experience and knowledge:

  • 2+ years of Executive Assistant experience supporting a busy Realtor or a Real Estate office. Required
  • An active California Real Estate License is preferred but not required; must be willing to earn license after being hired
  • Previous experience writing real estate copy 

Ideally, you are familiar with or can easily master: 

  • CRM Programs 
  • Social Media platforms 
  • Dropbox, Google Docs, DocuSign 

Compensation
$60,000 - $70,000 at plan
