Seeking a motivated, self-starter assistant with a valid CA Real Estate License and sales or administrative experience to support a prominent and top producing real estate agent in Marin County.

The assistant should be a highly resourceful team player who is professional and has the ability to support the members and their high net-worth clients.

The position requires the proven ability to handle confidential information with discretion, be adaptable to various competing demands, draft contractual documents, manage multiple transaction files at one time, and demonstrate the highest customer/client service level.

A successful individual will have the drive, in a supporting role, to push the business forward with strong execution, resourcefulness, and the ability to prioritize complex business and team member needs.

Responsibilities

ESSENTIAL FUNCTIONS

Listings:

  • Write Listing Agreement and Bareis exclusion via Zipforms
  • Send documents out for signature via DocuSign
  • Open pre-escrow – review preliminary title report and vesting
  • Order relevant listing docs
  • Review inspection reports and send overview to principal team lead and client
  • Enter transaction information into brokerage transaction management system
  • Create Disclosures.io Package
  • Enter listings into MLS

Escrows:

  • Write contractual documents via Zipforms
  • Open escrow and request wire instructions
  • Create Timeline and send to clients
  • Review all disclosures and reports – send overview to client and principal team lead
  • Send disclosures out for signature via DocuSign
  • Coordinate utility transfers, keys, fobs
  • Review closing statements
  • Coordinate signing closing papers

REQUIRED COMPETENCIES

  • Professional demeanor and high level of maturity to interact with a high-end clientele
  • Excellent verbal and written communication skills; Must have phone and email etiquette working for a luxury brand
  • Ability to organize daily workload by priorities, using checklists to ensure accuracy and completion of each task with excellent attention to detail
  • Must be able to meet deadlines in a fast-paced environment, demonstrating discretion while keeping up with the workload
  • Proactive, hands-on person who takes ownership of their work and quality of tasks to completion
  • Highly resourceful team player with the ability to be effective while working independently
  • Punctual with a desire to be in the office

Qualifications

MINIMUM QUALIFICATIONS

  • Valid California Real Estate License with a minimum of 5 years experience as a licensed selling agent or licensed assistant
  • Solid understanding of real estate contractual documents and transaction process
  • Valid California driver's license and state minimum insurance coverage
  • Detailed-oriented
  • Tech-savvy and fluent in ZipForms, MLS (BAREIS preferred), DocuSign, Disclosures.IO, and Outlook
