We’re hiring a motivated licensed real estate administrative assistant to join our growing team. Responsibilities will include administrative duties such as transaction coordination, database management, client correspondence, and past client engagement, listing preparation, scheduling, and more.

You’ll also support the team with event coordination, attending inspections/previewing properties, and running errands from time to time.

The ideal candidate should be detail-oriented and organized, capable of remaining calm in a fast-paced environment, and of the mindset that client care is #1!

Compensation shall be based on experience and shall include a healthy bonus structure for referrals as well as meeting annual goals PLUS 401(k) and Profit Sharing.

This position comes with the opportunity to work some tasks remotely after time has been spent becoming acquainted with the position and company culture.

Responsibilities

Office Management

  • Schedule meetings
  • Manage Calendars
  • Keep supplies filled - copy paper, listing presentation folders etc.
  • Keep Inventory boards up to date
  • Maintain files

Client Management

  • Maintain CRM
  • Write and mail notecards
  • Prepare pre-list, listing packages and buyer consultation packages
  • Schedule appointments for home previewing and client home tours
  • Attend inspections and show homes as needed
  • Provide support for clients, as needed when the agent is unavailable

Transaction Management

  • Create draft MLS listings and manage the listing status
  • Create and maintain standard activity plans
  • Schedule Contractors for buyers and listings, including but not limited to: Repair bids, inspections, sign installs, pre-listing work, open houses, etc.
  • Follow Task Lists and provide updates to agent via Google calendar
  • Liaise with title, escrow, lenders for a smooth transaction
  • Handle delegated communication with co-op agent
  • Transaction Coordination

Marketing

  • Draft Marketing Brochures
  • Team marketing as directed - Flyers etc.
  • Open House Prep
  • Website maintenance and posting
  • Assist with Social Media posting and provide support for video work as needed. Bulk of work will be handled by Marketing Director

Qualifications

  • Must have an active real estate License in the State of OR
  • Must have a valid driver's license and vehicle
  • Communicates well both verbally and written
  • Background in administrative work or project management a huge plus
  • Basic understanding of the Microsoft suite, G-suite, and CRM systems
  • Able to work independently and problem solve before escalating an issue
  • Flexibility for work on occasional evenings and weekends
  • Professional business casual attire is required. Denim is allowed with no holes

Compensation
$55,000 - $65,000 yearly
