Patel Anderson LLP is looking to hire a Receptionist in our Houston, TX office to be the first point of contact for the law firm and assist with answering calls, scheduling appointments, performing clerical work (i.e. filing, incoming mail), and accepting payments. The ideal candidate will be a team player, organized, self-motivated, and have clear communication skills. 

Responsibilities

  • Full-Time position, 8:30am to 5:30pm Monday through Friday
  • Greet and welcome clients as soon as they arrive at the office
  • Direct calls and inquiries to the appropriate person and office
  • Answer, screen and forward incoming phone calls
  • Ensure the reception area and conference rooms are tidy and presentable, with all necessary stationery and material (e.g. pens, forms)
  • Coordinate front-desk activities
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Maintain client confidence by keeping client/attorney information confidential
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and scanning
  • Collect, examine, and organize evidence and other legal documents for attorney review and case preparation
  • Draft and proofread correspondence and legal documents, such as pleadings and contracts
  • Research regulations, laws, and legal articles to assist with the preparation of reports, case files, and legal advice
  • Assist with client billing by preparing, finalizing, and sending out bills, as well as resolving billing issues in cooperation with the billing attorney
  • Communicate with clients and witnesses to schedule meetings, interviews, and depositions
  • Manage, organize, and maintain documents in paper or electronic filing systems
  • Provide general administrative assistance, such as maintaining the attorney's calendar and making travel arrangements

Required Education and Experience:

  • High School Diploma
  • Bachelor’s Degree Preferred
  • Some related experience and additional certification preferred (e.g. Office Management)
  • Understanding of legal language and principles, research methods, court pleadings and processes, and other related matters
  • Proficient with Microsoft Office Suite or related software

Physical Requirements:

  • Must be able to remain in a stationary position
  • Must be comfortable with up to 8 hours of screen time
  • Must be able to lift up to 15 pounds

Compensation
$12 - $15 hourly
