We're looking for a part-time professional, friendly administrative assistant. Your primary job will be to serve as the first point of contact with all clients, providing excellent customer service. Additional administrative duties include increasing productivity by creating and following office protocols, scheduling important appointments and/or travel arrangements, purchasing office supplies as needed, and assisting in marketing our brand online and at events.   • Help build online marketing, brochures, email campaigns, etc. that highlight our services
  • Generate status reports as requested so the team is informed with progress reports
  • Coordinate any company parties, necessary appointments, or travel
  • Answer phone calls and emails to act as a liaison between clients and staff members to improve customer retention and referral rates
  • Increase productivity by creating record-keeping procedures for customer data filing systems
  • Technologically savvy; basic knowledge of Microsoft Office Word and Excel programs and filing systems with the ability to learn new programs quickly and troubleshoot common issues
  • Shows ability to quickly finish very detailed work
  • Associate's degree preferred but not required to apply
  • Shows great interpersonal skills and excellent written communication
  • Customer service experience in our industry is preferred

  • At least 5 years of experience working as a legal assistant or project assistant in a law firm or in-house and preferably have exposure to commercial real estate and/or corporate law.
  • Track information regarding real estate transactions and corporate filings
  • Track and compile closing documents, including signature pages
  • Scan, upload, organize and save documents to our in-house document management system
  • Draft cover letters
  • Prepare messenger, FedEx and UPS labels and track document receipt/delivery
  • Track and review legal and insurance invoices, billings and payments
  • Schedule meetings, transportation and answer phones
  • Flexibility to work overtime on occasion
  • Excellent attention to detail and organization
  • Motivation and eagerness to learn
  • Strong written and verbal communication skills
  • Ability to maintain confidentiality
  • QuickBooks or other accounting/invoicing systems preferred
  • Clio or other legal practice management software experience is a plus
  • Familiarity with eFiling platforms a plus

$17 - $20 hourly
