Responsibilities

Administrative Management Tasks:


  • Assist the Owner with Administrative and Team management tasks including scheduling, organizing meetings, setting agendas, taking accurate meeting notes, calendaring deadlines from meetings, and disseminating notes with assigned tasks. 
  • Managing Office Supplies Inventory; prepare weekly Office Supplies Report and monthly order list. 
  • Create and Maintain Equipment, Software, and Computer Technology inventories to ensure all licenses software and systems are operating at full capacity.   
  • Management of physical office and remote employee needs; ensuring team members have the tools they need to perform. 
  • Assist Owner with management of Operational Vendors.
  • Works with bookkeeper on AR/AP and billing.
  • Assist with IT maintenance, upkeep, and troubleshooting.

Human Resources:

  • Oversees the Recruiting, Interviewing, and Hiring Process.
  • Responsible for all New Hire Onboarding and Training.
  • Payroll and Benefits Management.
  • Prepare for and assist the Owner with Conducting Quarterly Team Member Reviews.
  • Works with Management to create professional development opportunities for the team and ongoing training.
  • Oversees the Resignation/Termination process.
  • Review and approve PTO requests; Oversee and Analyze Team Reports on PTO/ Sick Time; Vacation Time; Overtime.
  • Oversee Team Celebrations including birthdays and anniversaries of Team members and other team events.
  • Integral part in setting and maintaining Sage work culture.

Systems, Policies, and Procedures:

  • Create, manage, and update Policies and Procedures.
  • Update and Maintain Core Processes.
  • Update and Maintain all employee training to ensure optimal use of the policies, procedures, examples, templates, scripts, videos, diagrams, flowcharts, and other demonstrable elements to help the team hone their skills.  
  • Maintain Policies, Systems, and procedures; review staff feedback on existing policies; suggest comprehensive updates to policies for innovation and growth
  • Maintain weekly, monthly, quarterly, and yearly KPI metrics in the Owner’s Dashboard.

Qualifications

  • Resilient problem-solving skills.
  • Proven experience in office management = 3+ years.
  • Good understanding of business principles.
  • Strong communication and people skills.
  • Strong attention to detail including grammar and spelling.
  • Ability to multi-task and adhere to deadlines in a fast-paced environment.
  • Great organization skills.
  • Excellent knowledge of basic office programs, computer software and online applications (CRM tools, Online analytics, etc.).
  • Strong typing and computer efficiency skills.
  • College Degree.

Compensation
$55,000 - $65,000 yearly
