Our law firm is one of the top 50 fastest growing in the country, and we need a Law Firm Administrator to help us reach the next level.

This will be a dynamic position. That sounds like one of the typical generic buzzwords you see in a job post, but it actually has meaning this time. Because of our rapid growth, things in our firm are constantly changing.

This means that the way we did things two years ago, is not the same way that we did them a year ago, and is different from how we do them today. And guess what? Things will be even better a year from now. As our teams grow, and our systems and procedures become more sophisticated, we need someone to help implement all of the great ideas strategies and visions that our leadership has.

You will help us build a team. You will help us recruit, train, onboard, and retain outstanding team members. However, it also means that until we get the right people in the right seats, you will be learning and performing a variety of tasks.

As the law firm grows, we serve more clients, and we reward our employees accordingly. If you're the type of person who can withstand changes in the consistency in your job, tasks, and responsibilities, this is probably the job for you. Our aggressive growth plans mean that no two days will be the same. We are looking for the person who is excited by that, not terrified by it.

Adaptation is inevitable. Did you know that a rocket is off course during 99% of its journey? It is constantly adjusting, changing directions, changing speed, and acclimating to the forces around it.
If you love creating detailed and step-by-step instructions on how to complete every task, this is probably the job for you, as part of the job will be creating detailed step-by-step directions and checklists for other roles in the firm, so that other members of our team can perform their jobs at the highest level.

We will make clear the outcomes that we expect. We will make it clear the criteria and the standards that we use in reaching our goals. But we will give you freedom and flexibility to get us from point A to point B, without being micromanaged. In fact, you will be required to make decisions on your own. Don't be intimidated when you're asked to pick a paint color for the office we're renovating. You'll know what we like. And if you pick a horrible color, we can always fix it later. We have your back as long as you make the right decision for the right reasons.

Don't worry, we don't expect you to jump in on day one and understand all of those things. In fact, we prefer to spend at least two weeks onboarding and training our employees before we give them any live ammunition.


Responsibilities

  • Day-to-day operations. This includes prioritizing use of support staff; dealing with vendors and suppliers; managing equipment, office services, and facilities; performing or delegating accounting functions; draft, revise, and implement policies, systems, and procedures.
  • HR & Management. If you don't have experience managing people please do not apply for this job. Managing does not involve setting a work schedule at a fast-food restaurant. It involves setting key performance indicators, checking the progress that employees are making against them, and creating consequences when those goals are either met or not met. We expect that you will have interviewed, hired, and onboarded employees in your prior roles, if you do not have this experience please do not apply.
  • Accounting. Prepares law firm budget; performs or delegates billing, preparation of financial statements, management of reports, and collections.
  • Strategic Planning. Participated in strategic planning process with management to identify and accomplish short- ahd long-term organizational goals.
  • Other duties as the needs of the firm evolve.

Qualifications

  • Law Firm Experience is preferred. It would certainly be beneficial if you understood the fundamentals of a law firm, including the financial models, the different roles and responsibilities that people have, and the operations of an office. However, we don't want you to be constrained by your prior experience. Rather we want you to use it as a guide. There's a reason that our firm is growing so rapidly. Actually, there are many reasons but one of the primary reasons is that we don't feel the need to do things the way that every other law firm does them.
  • A basic understanding of accounting software is required. We use QuickBooks. We want you to understand the journal entries that are made in accounting software, and how they directly affect the bottom line of our business.
  • Excellent interpersonal and customer service skills.
  • Detail oriented and professional.
  • Ability to maintain confidentiality.

Compensation
