We are looking for a full-time Law Firm Administrator/Chief Operating Officer who will join us in our cause and help us grow to the next level and beyond.

This Law Firm COO is a professional, executive-level position. As the most senior non-attorney member of the team, the COO will be THE key point of leadership to all staff members and work closely with the Owners on firm-wide strategy, systems development, and retaining an all-star team. The COO will be involved in all phases of administration, personnel, finances, facilities, technology, and security, and will be responsible for planning, organizing, directing, and controlling the day-to-day operations of the Firm. We need a COO who is a PRO at workflow and project management, who deeply understands employee engagement, who is metrics-driven and KPI-obsessed, and who will be invested in making important contributions to the success of the Firm.

Responsibilities

We need a full-blown, bona fide professional Law Firm Administrator who has experience running an office and building a successful business. This is a position akin to an Executive Director, Director of Operations, Legal COO, and Controller.

We are NOT looking for an Office Manager or an Administrative Assistant. 

The position encompasses a wide range of activities with involvement in all phases of administration, personnel, finances, facilities, and business systems. We need someone with the experience and maturity to work closely with the Owner and key staff on strategy, policy, problem-solving, and decision-making. This position will be responsible for planning, organizing, directing, and controlling the day-to-day operations of the Firm, and for directing the implementation of Firm policies.

Qualifications

An ideal candidate will have evidence of prior success with:

  • At least 5 years of experience as a Professional Legal Administrator or in a COO-level role for a professional services company
  • Playing a role in the management of 25+ people and budgets of $7,000,000 or more
  • Working directly with the primary stakeholders of businesses, providing objective analysis, assessing and incorporating feedback, and executing strategic decisions
  • Measuring what matters, developing key reports, and using reports to make and justify business decisions (P and L, budget variance, cashflow forecasts)
  • Systems management and process refinement to ensure matters are handled appropriately so that client needs are met, legal ethical requirements are met, and clients receive excellent service
  • Employee engagement and leadership, supervision, and termination
  • Managing vendors such as bookkeepers, accountants, and technology services
  • Must have previous knowledge of legal or other professional service organizations and have significant experience managing all business operations. Experience in HR, operational process refinement, and budgeting and planning are of the highest importance

  • Analytical Thinking: Ability to structure and process qualitative and quantitative data to draw insightful conclusions from it
  • Organization and Planning: Ability to plan, organize, schedule, and budget in an efficient and productive manner that keeps the big picture in clear view
  • Leadership: Can confidently manage support staff and delegate as necessary, maintaining good interpersonal relations and communications with lawyers and support staff, and helping to safeguard and cultivate the firm's corporate culture
  • Playing a role in the management of teams of 15+ people and budgets of $7,000,000 or more
  • Systems management and process refinement to ensure matters are handled appropriately so that client needs are satisfied, legal & ethical requirements are met, and clients receive excellent service
  • Employee engagement and leadership, supervision, and termination
  • Measuring what matters and using common financial reports to make business decisions (budget variance, P&L, cashflow forecast)
  • Managing vendors such as bookkeepers, accountants, and technology services

Compensation
$90,000- $120,000 yearly
