What you'll do in the role:
As our Administrative Professional, your role is an integral part of making sure that our clients’ experience is consistently high quality. There are two parts to this role. You will sometimes be answering our phones, serving as the first point of contact, and setting the stage for all interactions clients will have at Reynolds Defense Firm. You will also be assisting our Legal Team with projects and assignments to help our clients through the resolution of their cases. In both roles, you will be able to confidently answer client questions, gather information, and assure them they are in good hands with Reynolds Defense Firm. Most importantly, you will be establishing a true human connection with each person you talk to!

The ideal candidate is service-oriented and has experience talking with a wide variety of clients/customers. You know how to manage a conversation while also connecting with the person on the other end. You bring strong administrative skills and a high level of professionalism which you use to set a positive and helpful tone with our clients. You are able to handle multiple tasks at once, have strong problem-solving skills, and can change gears quickly when needed.

Responsibilities

  • Our Administrative Professional will back up our front desk as the first point of contact for clients, communicating company messaging and conveying confidence in our ability to assist them
  • The role will also assist our Legal Assistants and our Attorneys directly through assigned administrative tasks
  • This position has pride of ‘ownership’ in being part of the client intake and legal process and setting the standard for all other interactions the clients will have

Qualifications
  • History of being deadline-driven and extremely organized
  • Display excellent written, problem-solving, and verbal communication skills
  • Customer service, bookkeeping, or administrative experience is preferred
  • High school diploma or GED required
  • Technologically savvy; basic knowledge of Microsoft Office Word and Excel programs and filing systems with the ability to learn new programs quickly and troubleshoot common issues

Required Education and Experience

  • High school diploma or equivalent required
  • Minimum 3-5 years of general work experience
  • Minimum 1 year of clerical or customer service experience required

Required Skills and Abilities

  • Intermediate proficiency in customer service with the ability to manage interactions in line with company messaging and vision
  • Excellent communication skills
  • Excellent attention to detail
  • Ability to work independently to identify and solve problems
  • Ability to organize and prioritize work
  • Ability to respond to common inquiries and questions from internal and external customers
  • Ability to operate office machines including copiers, scanners, phone and voicemail systems, and personal computer
  • Intermediate proficiency with Microsoft Office Suite and comfortable learning and using new software programs

Compensation
$18 - $22 hourly
