We are seeking a General Operations Manager who will be responsible for the smooth functioning of the office and providing general supervision of all business aspects of the practice. Implements effective management systems to ensure that practice goals are met and exceptional patient care is delivered at all times.  

Responsibilities

PRIMARY DUTIES

  • Practice Management: 
  • Work with the doctor(s) to establish annual practice goals
  • Maintain an atmosphere of cooperation and understanding within the practice
  • Schedule and facilitate routine meetings with doctor(s) and staff
  • Analyze the progress of the practice
  • Maintain inventory system and budget for business office supplies
  • Monitor and update (as needed) system of correspondence for communications with patients, parents and referring doctors
  • Perform additional projects or tasks as designated by the doctor(s)
  • Staff Management – Human Resources:
  • Recruit and interview potential staff members with the help of the doctor(s) and appropriate staff
  • Setup all new employees with office systems and uniforms
  • Make recommendations to the doctor(s) for hiring, terminations, and salary increases when appropriate
  • Implement personnel policy, and maintain Employee Policy Manual
  • Prepare and conduct regular staff performance reviews with the doctor(s)
  • Participate in (and share with the staff) any discussions with the patients or parents regarding compliments or complaints
  • Develop the calendar of patient days with consideration for staff and doctor(s) meetings, vacation, etc.
  • Monitor attendance and grant or deny requests for days off
  • Record vacation time accrued and time off, with and without pay for all employees
  • Determine day-off coverage schedule
  • Implement and facilitate a new employee orientation protocol
  • Education and Training:
  • Update office literature and inform staff of new techniques, appliances, and trends in the profession
  • Structure educational programs for self and staff to maintain the highest level of expertise in clinical and business functions
  • Maintain current Practice Operations Manual
  • Organize training sessions for new staff
  • Set schedule for cross-training sessions for existing staff
  • Statistical Record keeping:
  • Generate monthly and yearly reports to review with the doctor(s) including: 
  • Patient Statistical Reports
  • New patients entered into the system
  • Practice Management Reports
  • Final Transactions Total
  • Accounts Receivable Aging Reports
  • Referral Source Report
  • Organize and keep a library of month-end statistics
  • Monitor progress toward bonus incentive program based on records of collection
  • Accounts Payable:
  • Assess the accuracy of received invoices evaluate payables against monthly budgets
  • Generate payments for invoices and statements
  • Maintain file of invoices and statements
  • Enter daily deposits into the bank balance. Provide the doctor(s) with accounting of bank balance monthly
  • Forward monthly accounts payable report and balance sheet to accountant
  • Equipment Management
  • Communicate with software vendors to keep current with changes, revisions or updates of software program, via monthly call with IT ensuring computer and printers are in good order
  • Install new programs or updates of software programs onto practice computers
  • Ensure that all equipment is maintained effectively
  • Other duties as assigned

Qualifications

  • Bachelor's required, Master's preferred
  • Exceptional interpersonal skills
  • Effective verbal skills to supervise staff as well as to communicate with patients, and referring doctor(s)
  • Ability to motivate staff and maintain an effective team environment 
  • Ability to work independently and unsupervised
  • Ability to manage conflict effectively
  • Ability to maintain professional demeanor at all times, even under stress
  • Ability to maintain outgoing, friendly attitude with patients and staff even under pressure
  • Ability to work with interruptions and to manage multiple priorities
  • Demonstrated knowledge of correct grammar, spelling, and punctuation in written correspondence
  • Ability to complete tasks within designated time frames
  • Ability to view patient needs as a top priority

Compensation
$62,000 - $75,000 yearly
About Central Park North Orthodontics

Dr. Washington is a warm and engaging orthodontist treating patients in the greater New York City metropolitan area. He is a certified orthodontist, a Gold Level Invisalign® provider, and is a member of the American Association of Orthodontists. Dr. Washington graduated from the Harvard School of Dental Medicine before he earned his degree in orthodontics from the University of Illinois in Chicago, and his bachelor's from Morehouse College. Dr. Washington’s patient care is influenced by his Southern upbringing; he is calm and comforting and is determined to educate his patients about their orthodontic care. Furthermore, he comes from a long line of educators, which has allowed Dr. Washington to develop a unique approach that his patients have fallen in love with.
