This Front Office Coordinator is a highly crucial and highly visible role within our firm. The Front Office Coordinator is the "face of the firm" and is required to be polished, professional, and knowledgeable about all firm policies and procedures. The Front Office Coordinator must be able to graciously handle a variety of incoming phone calls and serve as the "gatekeeper" of access to the legal team. The Front Office Coordinator's number one goal is to make everyone feel welcome and helped.

Compensation: $15/hr Salary is negotiable and dependent on experience.

Hours: Part-Time (Mondays, Wednesdays, Fridays)

MUST BE BILINGUAL

Responsibilities

  • Answer the main phone line and transfer calls as appropriate
  • Schedule clients as directed by the legal team
  • Organize and analyze information and files
  • Communicate with clients by providing updates and gathering information in English and Spanish
  • Greet clients, guests, attorneys and employees
  • Set up rooms for meetings
  • Maintain attorney’s calendars and send reminders
  • Receive mail, deliveries and packages
  • Maintain logs of voicemails and incoming phone calls
  • File documents in appropriate client files and sub-files
  • Set up and manage new client files
  • Prepare and send correspondence as directed by attorneys
  • Provide administrative support as requested
  • Perform other general office duties as requested
  • Translate documents
  • Maintain and report monthly, weekly, and monthly metrics

Qualifications
  • Displays impeccable interpersonal, time management, organizational, and customer service skills
  • Proficient computer skills and knowledge of Microsoft Office

  • Enjoy connecting with people and talking on the phone because you will be on the phone most of the day
  • Excellent written and verbal communication skills in both Spanish and English
  • An Associate's Degree or higher education is highly preferred
  • Proficient in Microsoft Word, Excel, and Outlook
  • Ability to prioritize and multitask
  • Highly motivated
  • Highly organized
  • Patience with clients, guests and team members under stressful situations
  • Deadline and detail oriented
  • Past experience as a receptionist. Experience in an immigration law firm is preferred.

Compensation
$15 hourly (negotiable, DOE)
