We are seeking a warm, caring individual with impeccable style and manners, a genuine love of people, and a drive to help others. You will be the Financial/Insurance Coordinator. The Financial/Insurance Coordinator is the backbone of the administrative team, ensuring that patients get the care they need through understanding their treatment plan, their financial obligations, and the timeline for payment. S/he works closely with patients, the Clinical Team, and the Administrative team, to facilitate a seamless transition from discussion of treatment to commitment to a payment option. The Financial/Insurance Coordinator sets the tone for discussions about finances and insurance. S/he provides a calm and warm environment for patients who are otherwise anxious and concerned about “how to afford dentistry.” The Financial/Insurance Coordinator may also be responsible for some internal accounting duties that support the practices goals for profitability. To assure consistency and stability, the Financial/Insurance Coordinator is also cross-trained with the appointment coordinator so that s/he can assist when required

Candidate must have experience with Medical and Dental coding, submitting claims, posting payments, and following up claim denials. Candidate must have knowledge of medical and dental electronic billing. Minimum of 2 years of billing experience necessary. Individuals must have the ability to communicate with insurance carriers. Professionalism in communication and attention to detail are key. A positive attitude is a must with the team, the patients, and the doctors on and off the phone. Willingness to learn and adapt when necessary. Dedication and reliability are a must. This integral role is absolutely key to the success of our practice.   • Prepare a financial action plan by reviewing the patients for the next day and determining their financial needs and their status
  • Research insurance benefits for all patients, prepare estimates on treatment diagnosed
  • Make sure patients are informed before additional services are performed
  • Determine patient’s insurance carrier and patient’s share of cost
  • Handle objections
  • Effective collection system from the first call, letters, emails, and beyond.
  • Studies the insurance plans that are used most frequently with patients to understand the various nuances of each plan in order to communicate more effectively.
  • Obtain a signed financial agreement. Specify the number of payments and due dates. Monitor payments. Sends statements
  • Sends information as requested by insurance companies such x-rays, charting, narratives, and other documentation for processing the claim when applicable.
  • Check production and collection goals daily to work towards making the daily goal
  • Utilizing excellent verbal skills convey our philosophy statement to patients that call our office
  • Strive to have every time slot of doctor/hygiene time filled
  • Document basic insurance information for quick reference.
  • Determines insurance eligibility, limitations, and payment estimates necessary to facilitate financial arrangements.
  • Educates patients, as necessary, regarding insurance, their responsibility, and basic terminology
  • Processes and submits dental medical insurance claims daily.
  • Follow up on Medical insurance claims for procedures that require medical claim submission.
  • Provides insurance predetermination documentation to patients, contacts the patient to make financial arrangements, and schedules treatment.
  • Corresponds with insurance companies to resolve payment delays, request for additional information, or to discuss treatment that has been denied coverage: Follow-up on aging claims.
  • Provides ALL financial reports and breakdown of accounts
  • Verifies insurance information/coverage for all new patients
  • Fully utilize on-line opportunities that provide information regarding patients accounts and automatic bill pay
  • Do a thorough chart review for patients who are out of compliance with their financial obligations and bring pertinent information to the huddle
  • Maintain all statistical interpretations of success for the job description and overall front office results, in order to reinforce success and address challenges
  • Participate in all team meetings by being prepared with assignments, offering insight into Trends Statistics, and engaging in brainstorming activities to support the practice goals.
  • Actively participate in all continuing educational opportunities to expand your skill set
  • Provide appropriate internal accounting processes
  • Support the practice’s financial budget


Bachelor's degree or graduation from a two-year college program in a related discipline isbut not required
Familiarity with dental office procedures and terminology is helpful
Strong computer skills, knowledge of Microsoft Office programs, and the ability to learn new programs
Dentrix and Imagn/Devdent medical billing software knowledge
highly preferred
Relationship building skills
Influencing skills/ negotiation skills
Ability to market the practice
Superb verbal skills with patients, insurance companies, third party companies and staff
Computer skills including practice management software
Creative problem-solving skills and an ambition to learn
Ability to work independently
Keen understanding of scheduling and financial systems in order to support the practice.
Ability to function within a team environment as a supportive and positive contributor.
Excellent math skills and attention to detail
Overall understanding of office philosophy and systems
Familiarity with medical AND dental insurance protocols
Familiarity with ADA, CPT ICD-10 codes
Ability to work 36-40 hours per week, Monday -Friday (some days as early as 7:30 am and ending some days at 7 pm)
Ability to work 1-2 Saturday's per month (7:30 am-1 pm)
Reliable transportation to Ashburn, Virginia in all types of weather
