The ideal candidate will have experience in administration in real estate and a Valid Florida Real Estate License. The natural ability to organize and prioritize daily tasks with minimal direction is critical in this position. Excellent communication and client service skills are a must.

  • Valid NY Real Estate License.
  • Technologically Savvy - able to troubleshoot common issues.
  • Comfortable working with (and learning) multiple programs/ apps. Proficiency in Microsoft Office.
  • Familiarity with CRMs (such as Top Producer) and Paperless/Cloud based Transaction Management systems (such as Paperless Pipeline).
  • Have excellent attention to detail and high-level accuracy with document data entry.
  • Deadline driven and extremely organized. Ability to assess, prioritize and act quickly in a high volume office.
  • Excellent customer service and interpersonal skills; can empathize and build relationships with a variety of personalities.
  • Able to stay calm and patient when faced with emotional situations.


  • Build, implement and manage all systems for clients, lead generation, database management and back office support 
  • Manage contract to close process
  • Create and maintain an operations manual that documents all systems and standards
  • Keep in communication with agents for needed documents and keep agent informed about challenges and issues that need to be handled
  • Send out weekly reminders of upcoming critical dates via email mail and phone
  • Work with the Attorneys/Mortgage professionals and contractors as a secondary liaison on any necessary information/documentation to help get the property to a successful closing
  • Continue to take day to day office tasks away from the broker, organizing workflow and reducing inefficiencies


$25,000 to $50,000 commensurate with experience
