I run an amazing, fast-growing law firm. I have a lot of stuff to accomplish. I need help staying on top of everything - Every Thing.

I am looking for an Executive Personal Assistant who is: 1) personally organized; 2) knows how to organize someone else; 3) knows what to do with a thousand ping pong balls flying their way at any given moment; 4) is gentle and has a good sense of humor; and 5) is service and mission-driven. You will be working closely with my Firm Executive Director to wrangle all the things in my three-ring circus of a life. To do this job effectively, you MUST be local to the Dallas Metroplex.

Responsibilities

Juggler extraordinaire (Calendar Manager): 1) school calendars to make sure important events involving my children get calendared, 2) family calendar updating extracurricular activities, 3) work calendar (non-case-related) coordinating with colleagues and vendors to schedule calls, lunches, and meetings.  

Purge master (Email Manager); this will not be an easy task. I get more emails in a day than any human being can process in a week. This job will involve developing and implementing a process to 1) identify important emails that need MY response; 2) provide me with a daily overview of non-urgent emails; 3) create tasks and to-do items based on email requests (and follow through to make sure those things get done); 4) delete junk email; 5) unsubscribe from junk email lists. 

Orchestral Conductor (Project Manager): I need someone who can help me prioritize and implement the hundreds of projects in my head. This will require daily communication and coordination with my Firm Executive Director, who is involved in most of them. One of these projects, for example, includes helping me book guests for my podcast, and sending a follow-up thank you gifts.

Social Butterfly (Event planner) – When we start having events again, I need help planning workshops, speaking engagements, media appearances, networking events, and parties.

Travel Agent – I travel for work and for pleasure. I need someone who can help me make travel arrangements, including scheduling caretakers for pets and children. I won’t ask you to scoop the poop – but I might ask you to find a pooper scooper in town who can help with this task.

Go-Getter (Errand Runner) – I need someone who doesn’t mind running errands for me, like getting the car washed, dropping off and picking up dry cleaning, buying gifts for birthdays and holidays. I need someone who can help me coordinate birthday cards to close friends and family – in order to do this, you will need to appreciate my particular sense of humor and share a few laughs with me first. 

Blockade – I need someone who will be familiar with my business, my clients, my friends, my family, and the people I don’t want to talk to. I need someone who can take the time and care to gain a clear understanding of what is important to me (and how I spend my time), make decisions independently, and act accordingly. You and my Firm Executive Director will be in total control of access to me.

Taskmaster – I need someone who will help me stay on focused and on task – this likely will involve a morning meeting each day, with a printed calendar and task list. And constant reminders throughout the day. 

So, if I forgot that I volunteered to bring a fruit tray for teacher appreciation, was supposed to have the costume in hand tonight for my daughter’s latest musical production, and scheduled an important networking meeting at the same time as a recurring board meeting, I need someone who will: 1) make sure the fruit tray is delivered; 2) go shopping, find and deliver a suitable costume before call time; and 3) know whether to reschedule the networking meeting based on the agenda for the board meeting, or whether I need to cut the board meeting short with a follow up email to the chair of the board and attend the networking meeting.  

Qualifications

  • Shows the utmost discretion in handling the Owner’s affairs; exercises high levels of confidentiality, sensitivity, good judgment, and integrity
  • Has attention to detail; robust writing, grammar, and proofing skills
  • Is highly organized
  • Has the ability to multi-task proficiently, maintaining focus as needed
  • Has strong interpersonal skills in working with Firm members, colleagues, personnel, vendors, etc.
  • Must be able to effectively and collaboratively work under the direction of the Executive Director and Firm Owner, and be willing to contribute by performing any task needed
  • Is professional at all times; positive and friendly attitude; professional appearance; appropriate communications (oral and written)
  • Must be kind, compassionate, service-minded, accepting of the firm’s mission
  • Highly collaborative in nature
  • Has a sense of humor to fit in with our spirited team
  • Follows directions, Firm policies, and procedures
  • Has 3-5 years experience in a similar role; this is not for novice assistants
  • Proficient in Word, Excel, PowerPoint, Outlook, Adobe Acrobat
  • High school diploma required, college degree a plus
  • You MUST be local to the Dallas Metroplex.

Compensation
$18 - $22 hourly, DOE
