This part-time role works directly with the full-time receptionist.

This person is responsible for the appearance of the office's common areas. They will ensure all common areas are neat and prepared for business. As the first point of contact for anyone entering the office, the ideal candidate will welcome everyone with a smile and a genuine sense of warmth. This person understands that our real estate agents and their clients deserve exceptional service from everyone on our staff.

The person in this role will assist in the management of the office by providing support and feedback on all matters affecting the productivity and operation of the office. They will communicate collaboratively to the Leadership Team, which includes the Team Leader, Market Center Administrator (chief financial director), the Broker, and the Director of Operations. The person in this role reports directly to the Director of Operations.

  • Take incoming phone calls and respond to emails and ensure the appropriate people receive all relevant information
  • Manage incoming and outgoing mail and handle deliveries
  • Give every employee, client, and visitor a warm welcome at the front desk and communicate any important information or directions
  • Complete other administrative duties as needed such as data entry, paperwork, photocopying, etc.

  • Schedule calendar appointments for multiple conference rooms and ensure the calendars are accurate and up-to-date
  • Greet everyone who enters the office with a smile and provide them with directions or information
  • Support a fun and productivity-based environment that helps everyone succeed
  • Assist Leadership Team by being an integral contributor for our growth goals
  • Utilize online design program to create social media posts
  • Provide transaction support
  • Assist with event coordination and project management
  • Maintain professional appearance of all office common areas
  • Provide direct support to the Director of Operations

  • At least one year of receptionist or administrative assistant, experience, or similar preferred
  • Displays impeccable interpersonal, time management, organizational, and customer service skills
  • Has previous experience with word processing programs and basic computer skills
  • Must have graduated high school, received a G.E.D. or equivalent
  • Well-versed in taking telephone calls and handling stressful situations

$15 - $17 hourly
