We are an investment real estate company looking for a dynamic motivated team member to grow with our growing company. Position to advance to full listing manager of 50-75 transaction and $50 Million in sales in 12-18 months.

Responsibilities
  • Maintain a file for each transaction to include all relevant paperwork as needed
  • Ensure each file has all applicable forms, signatures, and requirements for a complete file
  • Track and process transactions towards closing within strict deadlines
  • Work with all parties involved (Clients, Lender, Escrow, Title, Inspectors, etc.)
  • Create, track, and follow up with new offers
  • Informational Research and problem-solving various situations relating to each transaction
  • May consult with sellers to accomplish necessary repairs, improvements, and cleaning
  • Evaluate showing feedback and reevaluate pricing as needed

Listing Coordination:

  • Input listing to multiple listing service, sign ordering, etc.
  • Upload/attach documents, photos and virtual tours, and make changes as needed
  • Assemble electronic and print listing and sales packets
  • Database management
  • Manage contact and transactions databases in multiple systems (both web-based and physical)
  • Update and track on-going client information
  • Manage numerous active transaction files based on client and addresses

Clerical Work:

  • Answer phones and respond to emails from clients and vendors in a professional manner
  • Triage incoming questions and calls
  • Schedule meetings, events, and client related tasks
  • Distribute incoming mail, faxes, packages etc.
  • Post outgoing mail, bulk mailing and coordinate courier pick-ups and deliveries
  • File, scan and copy documentations
  • Order office supplies and perform general office administration
  • Assist with other administrative duties as directed by overseeing Broker
  • Build efficiency and effective responsiveness into existing operations, and help define new operational strategies
  • Work closely and effectively with the team lead to keep them well informed of upcoming commitments and responsibilities and follow up as necessary
  • Manage external requests and retrieve messages on behalf of the team lead, providing effective communication to both parties as appropriate
  • Coordinate calendars and schedule relevant meetings and travel arrangements

Customer Service:

  • Greet guests in a prompt, professional and friendly manner
  • Provide informational and customer support to principals and clients
  • Respond promptly to client and third party questions, issues, and concerns
Qualifications

Must be knowledgeable of the following programs:

  • MS Office (Word, Excel, Outlook)
  • MLS System

Experience:

  • Real Estate License
  • Transaction Coordination/Real estate assistant: 1 year
  • Administrator or Admin Assistant: 1 year
Compensation
$40,000 - $50,000 annually (depending on experience)
