We are seeking an exceptional Executive Assistant to work directly with the CEO. This person loves building, implementing, and managing multiple systems with minimal supervision. The Executive Assistant can quickly accomplish tasks the right way the first time, every time and provides a positive working environment, and is a true integrator.

This person loves details and creates effective systems. This individual can make decisions quickly and demonstrate results. An Executive Assistant works hard to support the lead agent and helps the business and team grow.

They will take on the responsibilities given by the senior executives. Their main goal should always be growth: of themselves, the team, and the results of the company.

This is a full-time position in our Vancouver, WA office. If you love to work hard, like managing/organizing/coordinating things, and can handle a fast-paced, high-pressure environment, you'd make an awesome addition to our team!

  • Complete administrative duties, like picking up orders, or other tasks as needed
  • Input information received about clients through streamlined database management
  • Convey messages to a broker that were received through phone calls, emails, memos, or reports
  • Anything and everything to make the business owner more productive - taking as much off the owner's plate as possible
  • Must be available and in the Vancouver office at 8:AM, Monday through Friday- Full time, 40 hours per week
  • Handle email messages each day with replies and/or forward to the correct associate in the office
  • Coordinate meetings and travel needs for the company
  • Manage the “Reporting” from the companies CRM System
  • Assist in Managing the Social Media Platforms for the company
  • Perform audits with clients
  • Data mining and other Property Listing Systems for New Buyers, Real Estate Agents, and Properties
  • Work with Sales Manager on showing and marketing properties as needed
  • Occasional after-hours and weekend work required- for events, seminars, etc.

  • Experience handling confidential information and adhering to strict deadlines
  • Strong organizational skills, communication skills, time management skills, and interpersonal skills

  • 2+ years experience as a personal/executive assistant, office manager, or related position performing supportive duties
  • Excellent communication skills and organizational skills
  • Can work on deadline and handle private client information
  • Experience in the real estate industry preferred
  • High school diploma or equivalent required
  • Must have professional writing skills
  • Experience with social media brands; Facebook, Instagram etc.
  • Attention to details
  • Ability to multitask with different departments in a fast-paced environment
  • Not afraid to speak out or take ownership of tasks
  • Not afraid to pick up the phone
  • Professional in attitude and appearance
  • Possess the ability to connect with a variety of personalities
  • Enthusiastic with excellent people skills
  • Independent and self-motivated- can take a project on from start to finish and complete
  • Ability to use or quickly learn specific CRM
  • Be a team player who thrives working with an energetic, tight-knit company where their activities directly affect the bottom line
  • Ambitious with proven ability to succeed
  • A proactive approach to problem-solving with strong decision-making skills
  • Must have reliable transportation   
  • Proficiency with Word and Excel
  • Do NOT need to be a licensed Realtor
