Are you an excellent communicator, planner, and organizer? We’re hiring an executive assistant to support two founders and one C-Level executive, to help us achieve our organizational goals. Your role is key to ensuring plans are made, schedules are set, meetings happen on time, and e-files, expenses are neatly organized and up-to-date. Responsibilities
  • Manage schedules including itineraries, travel arrangements, and team meetings

  • As it makes sense, come into our San Mateo, CA Headquarters two or more days per week
  • Communicating on behalf of the Executives with investors, VCs, investment bankers, C-levels in large companies
  • Calendar and Zoom identity management of the shared schedules, including meetings and other tasks for the CEO, COO of Reali, and Co-Founder of Veev
  • All-Hands meeting organization, including slide decks and follow up
  • Event planning for staff meetings, including luncheons and related on and offsite meetings
  • Coordinating and hosting executive meetings and external C-level visitors 
  • Project management assistance (meeting agendas, tracking key deliverables and action items)
  • Assist with expense reports and reconciliations of expenses on the corporate credit cards
  • Office administration assistance, including maintaining an inventory of IT equipment, office supplies, etc.
  • Overseeing property management services and basic
  • Office administration tasks
  • Scanning emails and prioritizing executives time performing ad hoc duties

Qualifications
  • Comfortable meeting deadlines and handling confidential information
  • Impeccable time management skills, organizational skills, interpersonal skills, and communication skills

  • 10+ years experience supporting Executives - Seasoned Assistant and/or executive coordination experience ideally with experience in both Publicly listed companies and startups
  • Demonstrated agility; exceptional project management ability to organize, multi-task and problem solve issues while managing competing priorities and commitments to deadlines
  • International communication experience, multi-time zones
  • Excellent verbal and written communication skills
  • BA/BS Degree, or an HS diploma, plus additional 3 years of experience in the above qualifications
  • Detail-oriented and comfortable working in a fast-paced office environment
  • Proficient with Mac, G Suite (Google office tools), Zoom, SLACK
  • Positive “can-do” attitude, team player, and problem solver

Compensation
$85,000 or more, DOE
