We are a top-producing Real Estate Brokerage looking for an experienced executive assistant to join our rapidly growing team. Your job will be to oversee and manage the busy schedule of the president of the company.  Implement and manage all projects and growth initiatives. Ensure all systems are being followed. Create and implement office procedures as needed to ensure efficiency.  Answer calls and take appropriate action as needed.  You will also have the opportunity to work directly with the Sales and Listing teams to manage the production of all marketing materials and facilitate local events to foster connections with people in the community. MQA is looking for someone with superb organizational skills, exceptional customer service, and a strong understanding of the real estate transaction process. 


  • Maintain an ever-changing calendar and prioritize meetings on CEO’s behalf making sure the CEO’s day runs smoothly.
  • Vet and prioritize CEO’s emails; craft emails and correspondence on the CEO’s behalf.
  • Track and coordinate several projects from start to finish; exceptional project management skills.
  • Track progress of all real estate transactions, coordinating with Sellers, Buyers, Investors, Developers, Vendors, Lenders.
  • Proofread and go through documents, confirming necessary changes.
  • Prepare materials for meetings, podcasts, appointments, and follow-up on action items, as needed.
  • Coordinate travel arrangements, showing appointments, etc. Maintain calendar(s) and contact database(s), including personal, family, and social engagements. Run personal and business errands as needed.
  • Process expense reports with the Operations department.
  • Maintain office, order supplies.
  • Maintain office soft/hard filing system.
  • Screen incoming phone calls delivering detailed, timely messages, as needed.
  • Help to onboard new employees.
  • Some off-hour availability required via cell.


  • Must have Real Estate License
  • Minimum of 3 years of experience in a related support position preferred
  • BA/BS from a college or university
  • Technical Savvy. Excellent Microsoft Office skills (Word, Excel, PowerPoint, and Excel)
  • Strong written and verbal communication skills: very detail-oriented
  • Strategic thinker, problem solver with very little need of direction
  • Proactive –have ideas on taking tasks off the CEO’s plate
  • Understand the importance of confidentiality and trust when supporting a CEO
  • Polished, professional demeanor, and the gravitas to interact with high-level executives
  • A ”no job too small” attitude with a sincere interest in helping the business succeed
