Executive Assistant needed for a top-ranking Real Estate Team in the Omaha area. With the help of this individual, the agents are hoping to focus more on selling Real Estate and much less on the back-end/daily administrative tasks. We are looking for an exceptional candidate who is willing to go above and beyond - just like other members of this team.

The Executive Assistant is an individual who is willing and able to earn the right to be an Assistant Executive. This person relishes the opportunity to build, implement, and manage multiple systems with minimal supervision. The Executive Assistant is deeply committed to completing tasks the right way with a high degree of quality, attention to detail, and consistent communication. This person has immense focus and can do one thing for a long time without getting distracted. This individual may exhibit some drive and desire to influence; however, the overriding marker of his/her behavior is persistence and stability!


  • Salary Range: $55,000 - $65,000
  • Paid Time Off (PTO)

These are the standards a well-above-average performer will maintain or exceed: 

  • Build, implement, and manage all systems for sellers, buyers, lead generation, database management, information management, and back-office support
  • Responsible for all financial systems, including maintaining the books, paying the bills, handling payroll, assuring the collection of commissions, maintaining the budget, and generating financial reports 
  • Create and maintain an operations manual that documents all systems and standards 
  • Coordinate the purchase, installation, and maintenance of all office equipment
  • Be the first point of contact in handling customer inquiries or complaints
  • Keep the lead agent informed regarding any problems or issues that need to be handled 
  • Responsible for hiring, training, consulting, and holding accountable all additional administrative team members 
  • Handle lead agent’s calendar, in-coming emails, and regular calls to clients and leads
  • Send out all marketing materials for each listing, create (or have created) and send out monthly marketing and periodic farm marketing material, prepare open house materials and be sure open house is ready to go
  • Events: plan and execute 2 major client events per year and several smaller
  • Update social media 
  • Assembling open house materials and setting up at the house
  • When possible and time allows, some basic property management of Marty’s properties and arrangement of interpreting jobs
  • Minor deliveries and setting up of keys and lockboxes 

Essential duties and responsibilities 

  • System development, improvement, implementation, and management 
  • Information management 
  • Overseeing the selling or buying process as soon as a contract is written and communicating with the adjunct services to assure that they are properly processing all the paperwork until closing using DotLoop and then KW Command platform. 
  • Customer/Vendor relations 
  • Bookkeeping (A/R and A/P), manage budget, connect with the accountant and bank 


  • Lead Agent – daily 
  • Buyers/Sellers/Vendors – as appropriate (daily with current clients)
  • Adjunct Contractors: Transaction Coordinator and Marketing Coordinator

  • More than one year of college experience, associate's or Bachelor’s degree
  • Real estate license (or willingness to obtain one for administrative purposes) 
  • 2-3 years of service and management experience 
  • Executive administrative experience (or equivalent)
  • Ability to work remotely when needed 
  • Strong exposure to and familiarity with online technology, phones, and apps
  • Understands the idea of being “Assertively Helpful” 
  • Believes that service begets financial income, that the needs of the client are paramount!
  • Understands the idea of a referral-based business 
  • Has an eye for quality work and design
