The Executive Assistant will support the Executive in day-to-day operations, communications, correspondence, and scheduling activities. The Executive Assistant is responsible for coordinating meetings, interviews, and other outside functions, and works closely with executive management and staff. The Executive Assistant will also serve as the building receptionist to receive packages and mail and monitor guest access.


  • Conserves executive’s time by reading, researching, and routing email correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications
  • Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, travel and lodging
  • Coordinates Executive’s work schedule with personal schedule events
  • Maintains customer confidence and protects operations by keeping information confidential
  • Schedule and coordinate monthly coaching sessions for executive and staff
  • Managing Base Access and badging process for Executive(s) to include collection of base-specific forms, personal data and then submit for approval
  • Submit expense reports for Executive on semi-monthly basis
  • Prepares internal and external corporate documents for team members
  • Arrange appearance at Corporate events that take place outside of the workplace, such as golf tournaments and fund-raising events
  • Maintain an organized filing system of paper and electronic documents
  • Serves as receptionist at Oak Ridge Headquarters building

Required Education, Experience and Certifications

  • High School Diploma
  • 5 -10 Years of C-Level Support Experience
  • Advanced Microsoft Office Suite experience

Preferred Education, Experience and Certifications

  • Associates or Bachelor’s degree preferred but not required

Position Type/Expected Hours of Work
This is a full-time position. The work week is considered Monday to Friday and the normal Work Day is from 8:00 am to 5:00 pm with one hour for lunch.

Limited travel required.
