Executive Assistant to Marketing

At Rutter Mills, employees matter. The Executive Assistant to the marketing department is a supportive role in a fast-paced, creative environment. Responsibilities center around scheduling, organization, and reporting. Must have a thorough knowledge of Excel, including formulas, formatting, and pivot tables. Attention to detail is paramount for this role, along with the ability to work and adapt to a dynamic team environment. Our ideal candidate will have a general knowledge of marketing activities and be able to contribute to a creative environment. The Executive Assistant will directly support the Director of Marketing to help meet and surpass brand awareness and revenue expectations and contribute to our company’s rapid and sustainable growth

Responsibilities

  • Uses Microsoft Excel spreadsheets to report on predetermined metrics weekly, monthly, and quarterly as requested
  • Perform all tasks related to QC activities on media campaigns
  • Manages media publishers’ invoices and payments
  • Assist with staffing local events as needed
  • Acting as the point of contact among employees, vendors, and other external partners
  • Managing information flow in a timely and accurate manner
  • Manage schedules including itineraries, travel arrangements, and team meetings
  • Identifies campaign improvements or new opportunities by remaining current on industry trends, market activities, and competitor tracking
  • Maintains the inventory of branded items by checking stock to determine inventory level; anticipating needed supplies; evaluating new products/vendors; placing orders and verifying receipt of supplies.
  • Take minutes during meetings
  • Assist with client gifting fulfillment activities when needed
  • Monitors and reports on campaigns to generate online reviews
  • Contributes to team effort by accomplishing related reports and tasks as needed

Qualifications

  • Must be able to demonstrate proficiency in MS Office, especially using Excel
  • Three to five years of executive assistant experience
  • Excellent verbal and written communications skills
  • Bachelor’s degree preferred, but not required

Due to the supportive nature of this position, candidates must be willing to work a full-time schedule, during standard business hours in our historic downtown Norfolk office building. Travel is not required. Strong candidates are encouraged to apply. This is an immediate fill position, with interviews currently being conducted.

Compensation
$40,000 - $45,000 yearly
