The sole priority of the Executive Assistant is to clear the path for the CEO to focus on what they do best. The Executive Assistant will be a key asset to the CEO by anticipating needs at an exceptionally high level, allowing her to develop a vision and strategy for all aspects of Sales to ensure that the business can reach revenue and profitability goals. While repetitive tasks are certainly part of this position, the tasks assigned can vary week to week based on the CEO’s needs and the needs of the business. The most important responsibility of the Executive Assistant is to ensure that administrative Tasks, Deals, and Transactions are completed with a high level of efficiency, confidentiality, accuracy, flexibility, and positivity in order to support the goal of providing exceptional white glove service to a client of the business. 

Responsibilities

  • Daily Maintenance and communication with active clients
  • Create entries for leads, clients, deals; Seller Side and Buyer Side
  • Deliverables, and complete workflow tasks.
  • Curate and help develop the generated master tasks to further raise the efficiency of the Firm and processes.
  • Produce essential listing documents: “Input Sheets”, “Realist”, “Listing Agreement”, “Tax Roll” and “Property History” for placing listings onto the “MLS” platform.
  • Create a “Critical Dates Sheet”
  • Prepare “comparables” and all related supporting documents for listing appointments required by Brokerage.
  • Attend staging appointment and assist as needed
  • Meet the photographer and manage the photo shoot process with limited assistance from the Lead Agent.
  • Attend video shoots and floor plan measures.
  • Take video on phone for future social media posts.
  • Collect all condominium and association documents needed for listing accuracy.
  • Coordinate all aspects of each transaction from start to final close-out.
  • Lease Transactions: Create lease agreement and contract to lease, coordinate the tenant credit & background check as needed with agent, coordinate rental escrow, dispersement method.
  • Set appointments for and between Jessica Adams and the firm’s clients/consultants.
  • Create and manage Jessica Adams listing appointments, personal time for errands, coaching calls, and family events.
  • Coordinate with Marketing Director to set time in the schedule for Jessica Adams’ personal time for errands, coaching calls, and family events.
  • Coordinate services and internal events/meetings, etc. with Brokerage.
  • Create and/or manage systems for physical office / clerical organization.
  • Keep office organized and up to date with all listings documents accessible and archive
  • documents when possible.

Qualifications
  • History of being deadline-driven and extremely organized
  • Navigates computer programs with ease to provide a quick front-desk experience for customers
  • Enjoys talking with customers and can communicate through verbal and written channels

Compensation
$55,000 - $65,000 yearly
