Ron Howard & Associates at RE/MAX Preferred has an opening for an Executive Assistant, which embodies the elements of supporting leadership, staff and our agent team, office accounting and office operations in the position. Candidates should exhibit natural leadership ability, be a servant leader, dependable, customer service oriented, and be a team player.

They must have a strong sense of urgency with attention to detail and the ability to execute in a fast-paced, deadline driven environment. The right candidates will be able to have fun and operate in a productive environment while achieving office goals.

  • Be a strong right hand to Leadership by managing the business and administrative needs of the Team
  • Create and manage all systems for sellers, buyers, client database management, and all office administration and help scale operations as the business grows
  • Maintain all agent financial systems, profit-and-loss statement, bill payment, budget(s), and bank accounts
  • Coordinate the purchasing of any office equipment, marketing materials, and any other business-related supplies
  • Create and update a business operations manual and all job descriptions/employment contracts for any future hires
  • Assist in the recruiting, hiring, training of all future administrative and agent hires
  • Management and coordination of Team Events
  • Manage the Team Agile (Project Management List) and assist in detailing and mapping out projects needed for the Team
  • Open office and turn on all electronics, turn on lights, and prepare and maintain office for staff and client arrival
  • Provide an executive level of administrative support, this may include but is not limited to phone and email management, calendar organization, task management, and keeping the Leadership Team focused on key tasks
  • Participate in Daily Staff Huddle, review daily schedule, and determine course of action for anything unscheduled
  • Prepare weekly team meeting presentations and agendas for Leadership and distribute prior to meeting
  • Send cards for upcoming milestones (birthdays, anniversaries, and so on.)


The Executive Assistant will have a bookkeeping background, be able to operate in a fast-paced environment, be highly organized, have an accommodating and supportive spirit, and attention to detail. The Executive Assistant will demonstrate consistency with strong follow-up skills on projects/tasks, is a problem solver and will maintain existing systems and implement new ones as needed.

Other Qualifications:

  • Tech Savvy
  • Some college accounting
  • 2 years of outstanding bookkeeping experience
  • 2 years of excellent customer service experience
  • Intermediate MS Office/Google Docs skills
  • Real Estate experience a plus
$35,000 - $40,000 yearly
