The opportunity

This is a great opportunity for someone who wants to join a growing business that is expanding its current base of services and has plans to develop other areas of professional service that will help our clients and be interesting for everyone on our team. You are our ideal team member if you would be motivated to assist and support the Firm’s owner/attorney/CPA, working closely with her and our tax and estate planning teams and are comfortable working in a fast-paced environment.

In this position, you will:

• Monitor and manage the owner/attorney/CPA’s calendar, ensuring her calendar is accurate and organized. Calendar meetings and telephone calls as appropriate
• Receive calls from clients and others, and address needs for the Firm’s owner/attorney/CPA (think “gatekeeper”), as well as help manage follow up on her behalf
• Communicate with clients and others by telephone and e-mail, as directed by the Firm’s owner/attorney/CPA
• Assist our Operations Manager in managing workflow for the Firm’s owner/attorney/CPA.
• Help track the delivery of certain client work product with our customized tools
• Ensure the Firm’s owner/attorney/CPA has all relevant materials/files needed for meetings
• Occasionally provide general office assistance with filing, scanning, organizing files and records, etc.
• Assist with the organization of the Firm’s owner/attorney/CPA’s office, with her
• Assist in managing owner/attorney/CPA’s email inbox
• Coordinate personal meetings/appointments as needed for the Firm’s owner/attorney/CPA

Book travel as needed.

Minimum Qualifications and Characteristics

• Associates degree
• A minimum of three (5) years experience in a professional office, as an Executive Assistant
• Comfort with and enjoyment of client contact and helping others
• Genuine nature to be friendly and warm and likes to laugh
• Excellent proficiency with Word and Excel, and other office-based software programs
• Professional demeanor with clients and co-workers
• Excellent written and interpersonal communication skills, with care for correct grammar and spelling
• Detail-oriented
• Enjoys working independently
• Cares about the quality of his or her work
• Willingness to learn about and accept changes in technology
• Proud of providing exceptional service
• Enjoys working collaboratively
• Positive, with a “can-do” attitude and a desire to be a positive influence in the office

Compensation and Benefits

• Hourly, depending on experience
• Bonus Eligible
• Paid Time Off (After One Year of Employment)
• Seven Paid Holidays
• Medical and Vision Coverage (If qualified by hours worked per week)
• Full-Time or Part-Time
