The position:

As a Bid Assistant, you will quickly become everyone’s go-to. That means keeping an organized office and file system, as well as checklists, checklists, checklists. (We’ve made a few, but we have a hard time keeping track of and sticking to them. That’s why we need you.)

The nitty gritty: 

Location/commute: San Mateo, CA

Type of employment/hours: Full-time, 40/hrs per wk, M-F, flexible hours (i.e. 8-5 or 9-6) 

Compensation: $50,000-$70,000, profit share potential

Benefits: Profit sharing, 401k matching, holiday bonuses

Responsibilities

On any given day or week, you might:

  • Put proposals together
  • Manage deadlines accordingly
  • Edit excel and word documents
  • Assist the operations team in their essential duties
  • Assist the construction and floor division with administration
  • Collect and research data
  • Develop and implement cost-saving measures
  • Assist sales team with job paperwork, job closeouts, estimates
  • Implement and manage systems and procedures, look for ways to improve and promote quality
  • Handle of all database management and help scale operations as the business grows
  • Observe safety and security procedures; use equipment and materials properly
  • Phone and email management, task management, and keeping the team focused on key tasks
  • Serve as the key contact person for clients by providing a concierge-level of service

  • Deadline-focused, assertive, highly adaptable, and tech-savvy
  • Self-starter, extraordinary organizational and project management skills
  • Detail-focused, meticulous, and able to prioritize accordingly
  • Analytical thinker and strives to continuously build knowledge and skills
  • Responsive, solution-oriented and anticipates needs, service-focused
  • Punctual, polished and professional and present yourself as such
  • Superior communication skills, both verbal and written, with exceptional etiquette and finesse
  • Thick-skinned, open to constructive feedback and learns from past mistakes ensuring that mistakes do not happen twice
  • Expertise in copywriting and editing
  • Able to work with different personality types and enjoys building long-lasting, quality business relationships 
  • Enjoys contributing to a team environment with the ability to collaborate in a proactive style to assist all team members

In the past, you might have...

  • 2+ years of office administration experience in a service or construction industry 

Ideally, you are familiar with or can easily master...

  • CRM Programs (such as Salesforce)
  • MS Office Suite (Word, Excel, Powerpoint, etc.

Compensation
$50,000 - $70,000, benefits and profit share potential
