We are looking for an Operations Manager Executive Assistant to help run the show! We are seeking an experienced project manager or assistant to help operate and run our real estate business. From holding open houses to client follow-up, you will be the main point of contact for clients and always on the move!

Prior real estate experience is NOT required! We are willing to train the right person. This is a rare opportunity to work for a successful real estate team and to learn the business from the ground up. (Aspiring sales agents should NOT apply. This role is the best fit for someone who seeks growth in a management or administrative role.)

The Details: 

Salary: Competitive salary plus a bonus structure

Hours: Full-time, 45 hours per week, M-F, 9:00 a.m.- 6:00 p.m., flexibility on weekends is required; you will assist with weekend open houses

  • You are the center of the operation and you know how to “manage up”
  • Assist the Lead Agents to prioritize, strategize, and focus on key tasks; you own the schedule and manage the team daily; manage the listing process; oversee the contract to close process
  • Run the team daily team meetings
  • Own the master calendar; you know where everyone is at any given moment
  • It is your job to push things forward, always ensuring the Lead Agents are on task (and on time!)
  • Attend walk-through with Team Stager, taking diligent notes
  • Follow-up and follow-through is one of your many main objectives
  • Coordinate Marketing ensuring every piece is flawless and ready to go on time
  • Hold open houses at least 1-2 weekends each month
  • Plan the client appreciation party (because who doesn’t love a good party!)
  • Provide an executive level of administrative support to the entire team
  • In addition to their real estate business, these Lead Agents have philanthropic, community and political activist interests that are managed through the office


You will play an active role in all aspects of managing the back-office, pay attention to the details and know how to prioritize their duties without direction. We seek someone who will put their needs first and who believes that no job is too small. You should also have:  

  • 2+ years of executive assistant or administrative experience
  • Experience leading a Real Estate office and/or executive level administrative support to a Realtor would be a huge plus but not required
  • You would never say “that’s not my job…” 
  • Self-starter; not afraid to ask questions and take the initiative; highly independent, able to
  • Work under limited supervision; manage yourself as well as the Lead Agents and their calendars
  • Extraordinary organizational and project management skills
  • Detail-focused, systems-oriented, and able to prioritize accordingly
  • Superior communication skills; good writing skills are a plus! 
  • Solution-oriented and anticipates needs; you bring solutions to the table not problems
  • You pride yourself on providing exceptional customer service with compassion and patience 
  • Oh, and, you must be able to support two bosses who have very different work styles 

Key Software Proficiency (preferred but not required):

  • MLS, SkySlope, Zipforms
  • Docusign, DropBox
  • CRM programs such as Contactually
  • Google Suite - GoogleDocs and GoogleSheets
  • Microsoft Suite – Excel, Word, Outlook
  • Wunderlist

You reside no more than a 45-minute commute against the flow of traffic to Beverly Hills, CA and you have your own car, a valid driver’s license, and carry insurance.

$50,000 - $70,000 Competitive salary plus a bonus structure
