Are you interested in a versatile role with leadership opportunities? We’re hiring a professional and proactive Executive Assistant to join our team. The Executive Assistant is a collaborative partner and reports directly to the Firm Administrator & Owner. The Executive Assistant must complete a broad variety of administrative tasks, assist in organizing and coordinating meetings/events while maintaining a balance among multiple priorities. This individual must have the ability to exercise good judgment and common sense in a variety of situations with great communication and organizational skills.

Responsibilities
  • Make sure executive schedules including travel arrangements, itineraries, and team meetings, are organized and up-to-date
  • Organize incoming information such as phone calls, voicemail messages, emails, and memos and report details to an executive
  • Manage office duties such as organizing filing systems and ordering office equipment and supplies

  • Provide confidential administrative support to the Firm Administrator including: report creation and maintenance, research tasks, email management, as well as general administrative duties
  • Generate and distribute daily, weekly, and monthly reports
  • Schedule meetings and events, manage multiple calendars of appointments, develop meeting agendas, handle invitations
  • Develop and maintain effective processes to assure efficient delivery of information
  • Assist in the development of communications/correspondence and be accountable for the timely distribution of communications
  • Handling other tasks that facilitate the Firm Administrator's ability to effectively lead the firm

Qualifications
  • Possess a high school diploma, G.E.D. or equivalent
  • 2+ years performing supportive duties in a personal assistant or executive assistant role, or similar
  • Excellent communication skills, time management skills, interpersonal skills, and organizational skills
  • Experience using Microsoft Office
  • Comfortable meeting deadlines and handling confidential information

  • Requires an individual who is proactive, a team player, has a positive attitude, and is able to multitask
  • Detail oriented
  • Ability to anticipate the needs and preferences of management
  • A commitment to the mission and values of the Firm

Compensation
$40,000 - $51,000 yearly
