This role in our firm is crucial to providing the backbone and framework to serving our clients in both a compassionate and efficient manner. Positive, friendly, and professional interpersonal skills are essential requirements for becoming a member of our Firm. Duties include providing excellent executive administrative support for the Executive Director and additional duties required by the Executive Director or Owner. We are looking to fill this position to start in the first half of January 2022.

Responsibilities

  • First point of contact to the Executive Director regarding phone calls, emails, written correspondence
  • Schedules meetings and appointments for the Executive Director
  • Assist with management of Executive Director’s workflow: reminders, meeting prep
  • Assists with creation, revision of Firm policies, procedures
  • Creates weekly team productivity reports
  • Assists with preparation for firm employee events retreats as requested
  • Assists with accounts payable maintain vendor files
  • Assist with facilities maintenance, including equipment, vendor oversight, etc.
  • Assist with employee gift procurement
  • Liaisons with vendors, suppliers, HFL team
  • Prepares reports as requested by the Executive Director or the Owner
  • Assist with other tasks as assigned by the Executive Director or the Owner
  • Assists with planning and logistics for marketing webinars, events, workshops, presentations
  • Assists with email drip campaigns as needed
  • Assists with Client gifts when appropriate (welcome, thank-you)
  • Maintains marketing vendor files
  • Assists with the prep of marketing brochures, downloadables, promo materials
  • Provides back-up to the receptionist regarding general phone handling, basic intake
  • Provides additional administrative assistance as needed to support the Firm mission
  • Provides backup assistance with maintenance of the firm's CRM database
  • Provides training as necessary for Firm members performing these and other tasks

Qualifications

  • Is professional at all times; positive and friendly attitude; professional appearance
  • Exercises high levels of discretion, confidentiality, sensitivity, trustworthiness, and integrity
  • Has knowledge of basic legal terminology, processes, documents, cash flow
  • Has acute attention to detail
  • Has robust oral and written communication skills, including grammar and proofing skills; appropriate communications (oral and written); impeccably fluent in English; accustomed to working with people in positions of power, wealthy Firm clients
  • Is highly organized and capable of timely managing own workflow and workflow of the Executive Director
  • Has the ability to multi-task proficiently, prioritize appropriately, and maintain focus as needed; can juggle multiple projects and tasks, schedules
  • Is flexible, adaptable, and able to pivot as needed; has critical thinking skills to evaluate appropriate creative solutions
  • Has strong interpersonal skills in working with Firm members, clients, attorneys, personnel, vendors, etc.
  • Has an aptitude for working with numbers, budgets
  • Must be able to effectively and collaboratively work under the direction of the Executive Director and Firm Owner, and be willing to contribute by performing any task needed
  • Follows directions, Firm policies, and procedures

Compensation
$40,000 - $45,000 yearly
