We are a top producing, high-energy residential brokerage firm and are in need of a full time, Director of Operations/Listing Manager with energy and enthusiasm. The right candidate should be excited about organizing all the steps in coordinating a home sale from staging and advertising at the beginning of the sale to tracking and filing necessary paperwork at the close of the sale.

The right person will also have the desire to help build the team by contributing to both indirect and direct marketing responsibilities.

We are seeking someone who enjoys people and excels at building relationships both in person and over the phone. Proficiency with computers and technology and possessing the ability to learn new applications quickly are also necessary qualities. 

Experience with MS Office Suite (especially Outlook) is needed. The right person must have good organizational skills and be great at multitasking. We are looking for someone who has the ability and desire to grow with our dynamic team.

The Operations Manager is an individual who excels at building, implementing, and managing multiple systems. The Operations Manager is deeply committed to completing tasks the right way with a high degree of quality. This person has immense focus and whose attention to detail is exceptional. This person can handle many twists and turns in the day but remain calm, purposeful and intent on progress. This individual may exhibit some drive and desire to influence; however, the overriding marker of his/her behavior is persistence and stability.   

This Operations Manager is looking towards the future.

What Will You Do?  

  • Oversee daily operations of team
  • Support lead agent and buyer’s agent in their business development
  • Ensure client satisfaction
  • Double gross production in 2 years

Daily Musts: 

  • Handle all incoming phone calls and manage emails
  • Communicate and support agents
  • Oversee agent accountability
  • Assist mega agents in daily tasks
  • Speak with clients to build rapport, loyalty and to support their needs
  • Contract to close
  • Ask for business

Weekly Musts: 

  • Prepare Itinerary and reports for weekly meetings
  • Secure Monday Report from agents (4 Conversations)
  • Pipeline Report
  • Agent Production Report
  • Review Annual/Monthly/Weekly Goals (4-1-1 and 1-3-5)
  • Oversee finances, P&L, monthly bills.
  • Accountable to oversee and support team goals

Essential Duties and Standards:

1. Primary Objectives

  • Records, sources, assigns, and tracks Great Agent leads
  • Build, implement, and manage all systems for sellers, buyers, lead generation, database management, information management, Agent on-boarding and back-office support
  • Create and maintain an operations manual that documents all systems and standards
  • Coordinates billings, keeping a sharp eye on expenses, managing the budget and cutting waste
  • Be the first point of contact in handling customer inquiries or complaints
  • Keep the lead agents informed regarding any problems or issues that need to be handled
  • Responsible for building a “bench”
  • Maintains cultivation of internet leads from acquisition to conversion
  • Maintains contact database system and back-office support. Ensures that all systems and process run efficiently, making revisions as needed
  • Keeps the Mega Team Leaders informed regarding problems or issues

2. Regular Work Activities

  • System development, implementation, and management

  • Leading administrative team members (as appropriate to team structure)
  • Hand off leads for appointment to Buyer Specialists
  • Listing and Buyer packages

3. Management Responsibilities:

  • Responsible for holding Buyer’s agents accountable

Qualifications

  • Experience in Real Estate, Transaction Coordination, Titles or Mortgages
  • Real estate license required
  • 1 – 3 years of management, administrative or operations management experience
  • Sales Experience 
  • Must possess excellent written and oral grammar and writing ability
  • Respond well to stress and keep calm in all situations
  • Independent and self-motivated
  • Reliable and dependable
  • Motivation to provide excellent customer service and experience
  • Accurate and attentive to detail
  • Warm, engaging and inviting personality

Compensation
$40,000 per year + and/or commission based structure
