Reporting to the Deputy Director, the Contracts and Grants Administrator oversees a portfolio of government and foundation grants and contracts; in addition, the Contracts and Grants Administrator works on special projects aimed at streamlining processes and developing tools for efficient financial management within the agency. Manage overall non-programmatic contract/grant efforts, overseeing the accounting, financial and administrative reporting, compliance, and other administrative functions to ensure successful execution of contract/grant process from pre-award to post-award. This includes optimizing the contract/grant administration process, ensuring compliance with contract/grant regulations, preparing administrative progress reports, administrative review of grant proposals, managing grant databases, engaging with agencies, educating staff on policies, and preparing internal and external financial reports. They will also serve as a main point of contact for funders.

Responsibilities

  • Prepare monthly and Quarterly invoices and other reporting for Government contracts
  • Maintain tracking systems of Government Contracts monthly billing and redesign as needed to ensure proper invoicing
  • Manage, update, and oversee maintenance and organization of all grant documents (e.g. narratives, financials, agreements, amendments, reports, and invoices) in both hard copy and electronic filing systems
  • Review and maintain Monthly expenses allocation report and supporting documentation
  • Assist with the preparation of Contract Budgets and Budget Modifications
  • Assist with Agency Audits, Government Annual Audits, and interim Monitoring visits and preparation as needed
  • In collaboration with Deputy Director, present monthly budget to actual financials and contract variations to senior Program staff, explaining details, cause, and effect, etc., with a solutions-oriented approach
  • Project Management duties include reviewing reporting processes and procedures and making recommendations for improvements, enhancements, and automation opportunities
  • Ensuring compliance with laws, policies, and regulations at all levels of the grants administration process
  • Keep the relevant staff informed about upcoming deadlines and deliverables, thereby ensuring smooth completion of work responsibilities
  • Clearly communicate processes for grant submission, monitoring and close out and compliance with rules and regulations, requirements, and objectives across all departments of the organization and the management

Qualifications

  • BA/BS degree in business, nonprofit management, or accounting required
  • Budgeting experience preferred
  • 3-5 years’ experience in non-profit sector and interaction with senior/executive staff
  • Ability to exercise sound judgment, discretion, and tact; a collaborative spirit is essential
  • Interpersonal skills are a must, as this position will interact heavily throughout the agency, as well as with numerous government funding agencies
  • Ability to manage data and track performance effectively
  • Excellent organizational and time management skills, and a commitment to accuracy
  • Strong oral and written communication, analytical, and leadership skills
  • Microsoft Office proficiency
  • Experience working as part of a team delivering coordinated services highly desirable

Compensation
$50,000 - $55,000 yearly
