This position is for someone who enjoys administrative work and wants to learn the Commercial Real Estate business. This is an entry-level role designed to provide exposure to commercial real estate for the right candidate. The ideal candidate has a strong desire to learn commercial real estate, an unrivaled work ethic, takes pride in their duties and is hungry for knowledge. 

The associate is responsible for assisting the sales team. The successful candidate will not only support all facets of our business operations, but will be a quick, personable and  professional representative of the team as the first line of contact to our valued clients. Must have superior phone and communication skills, be able to multi-task, be detail-oriented and tech-savvy.

Opportunity to train on skills and functions needed to become a commercial broker, as intent of the role is to become a broker in 12-18 month.

Responsibilities

SALES SUPPORT: Support the team’s lead generation and qualification efforts as follows:

  • Serve as the first point of contact for inbound leads to gather pertinent information and set listing/consultation appointments with new clients
  • Assist brokers with preparing listing proposals, presentations and sales packages for qualified listing opportunities
  • Develop sales and offering packages for qualified listings
  • Participate in client presentations or meetings as assigned
  • Prepare special reports for qualified listing opportunities
  • Perform discounted cash flow and net present value analysis using custom financial analysis models; Proficiency in MS Excel required
  • Research properties and previous transactions utilizing services like CoStar and LoopNet.

TRANSACTION COORDINATION: Work closely with brokers, clients and third party representatives to provide outstanding customer service throughout the escrow process.

  • Monitor transaction calendars and critical dates
  • Effectively liaise with brokers, clients, title and escrow representatives
  • Familiarity with, and review of, escrow and title documents (instructions, amendments, prelims, etc)
  • Draft listing and purchase contracts, counters and amendments for both leases and sales
  • Experience with AIR and CAR forms is desirable but not required

LISTING COORDINATION: Work in tandem with the lead broker to provide outstanding communication and customer service throughout the sale or leasing process.

  • Draft listing contracts for both leases and sales
  •  Experience with AIR and CAR forms is desirable but not required
  • Coordinate photography, sign installation, access and staging for all listings
  • Respond to listing inquiries in a prompt manner and coordinate showings with broker
  • Independently gather and compile all necessary property information to prepare marketing materials and listing contracts such as commission rate, square footage, property features and income and expense data
  • Independently verify accuracy of all information and prepare marketing descriptions
  • Create electronic and print marketing materials. Adobe experience preferred

BROKER TRAINEE: Role includes 12-18 month commitment of dedication to the administrative support function. Following a 6 month probationary period, regular sales training required in preparation to move into a sales role including:

  • Accompany prospective clients to property sites to discuss property features, leasing rates and terms
  • Participate in contract negotiations and due diligence
  • Maintain current knowledge of market conditions, property values and legislation that may affect the real estate industry
  • Compile property data for clients, such as tenant surveys, summary reports, maps, status updates and presentations for listing or tenant representative assignments
  • Prepare Request for Proposals (RFP) and reviews RFP responses. Analyze data and prepares real estate reports on average asking rents, tenants in the market, historical data and market comparisons
  • Attend regular industry presentation and marketing events to develop industry knowledge and remain abreast of current trends 
  • Attend other training as assigned


Qualifications

  • Self-motivated and directed, with keen attention to detail
  • Strong computer/tech skills are essential (MS Office, InDesign, Photoshop, etc.)
  • Graphic design and presentation skills strongly preferred
  • Clear, concise and grammatically sound written and oral communication skills
  • Team player -- willing to do what it takes to get the job done
  • Resourceful with a common-sense approach to problem solving
  • Thorough with keen attention to detail
  • Upbeat, positive demeanor with a sense of humor
  • Experience in a professional office environment required
  • Prior real estate-related experience required
  • Strong organizational and analytical skills
  • Ability to interface with clients and work in fast-paced environment
  • The ideal candidate has a California Real Estate license or in process of securing a license (must obtain license within 6 months of hire)

Bachelor's degree from four-year college or university; or Associate degree and a minimum of two years related experience and/or training; or equivalent combination of education and experience.


Compensation
$22,500 + BONUS
