A growing Compass team is in need of a high-energy, positive results-driven administrative professional to manage and execute the team's listings and vendor relationships. This role will also be involved marketing and scheduling contractors. You must LOVE TECH and learning new technology systems so you can help us bring the best to our clients. You must also LOVE managing multiple projects with a high level of communication and organization. 

This person relishes the opportunity to build, implement, and manage multiple systems. He/she is deeply committed to completing tasks the right way with a high degree of quality. This person has immense focus and can do one thing for a long time without getting distracted. This individual may exhibit some drive and desire to influence; however, the overriding marker of his/her behavior is persistent and stable. This position will be an integral part of the operations team and will report to the two team leads. Our business operates during regular business hours but may need periodic availability during evenings and on weekends.
This is a full-time position working from our main office, Monday-Friday from 8-5 with flexibility. 


  • Salary Range is: $60,000-$75,000 depending on experience

  • Maintain the culture and customer care systems to ensure business growth and referrals from past, current, and future clients
  • Build, implement, and manage all systems for sellers, buyers, lead generation, database management, information management, and back-office support
  • Contact client and lead listing agent once in contract to begin communication 
  • Weekly calls to clients throughout the listing management process
  • Ensures clients have all pre-listing needs met – scheduling, paperwork, signage, etc
  • Manage virtual whiteboard of listings with listing agents and virtual assistant
  • Send a “thank you for working with our team” letter 
  • Project management with contractors to prepare listings for sale
  • Seamlessly handoff all listing details to our transaction coordinator
  • Weekly calls with signed listing clients to check-in and indicate the next steps
  • Seller/Listing Consultation Presentation preparation
  • Cleaning, staging, and photography coordination
  • Inform the client of photography appointments and add them to the team calendar
  • Photos and staging organizes and preps for marketing 
  • Listing Information Sheet/Utilities/Disclosures/HOA info and other misc. documents
  • Confirms all listing information with the client prior to activation
  • Keep track of lockboxes and signs
  • Manage ‘Coming Soon listings
  • Prepare bi-weekly market reports for active listing clients
  • Follow up with agents for showing feedback
  • Answer questions from co-op agents regarding active listings
  • Review incoming emails from the listing agent inbox and respond accordingly
  • Manage marketing and client touch plans
  • Coordinate marketing efforts with social media, print, and other mediums
  • Secure client/character/collaborator reviews 
  • Develop lead capture opportunities through marketing
  • Track ROI on marketing efforts
  • Monitor print materials and order from the printer as needed


  • Bachelor Degree preferred
  • Ability to learn new as well as teach others cloud-based software programs including CRM systems, project management systems, Google Workspace, all top social media platforms, Google Drive, etc. 
  • Incredibly service-oriented attitude

  • This person must have a CAN and WILL DO attitude of extreme ownership. This person will do anything and everything they need to in order to free their agents up to sell. If there is a problem, they will OWN the problem and they will OWN the solution to the problem.
