We are seeking the right individual to provide the best service ever (110%) to our buyer and seller clients, vendors, and partners, which will facilitate our listing and closing transactions converting everyone with whom we do business to a raving fan.

As a Listing/Closing Coordinator, you have exceptional organizational and management skills. You operate with a high level of professionalism and present yourself as such. You are able to prioritize multiple projects efficiently all while staying focused and handling others with a smile. You have superior communications skills, in both verbal and written form. You are able to work under limited supervision, taking the initiative when necessary. You will take on your job duties with a sense of ownership, confidentiality, commitment, honesty, loyalty, and integrity.

Responsibilities
  • Help build and maintain database
  • Create detailed written information to be included in marketing materials
  • Manage all MLS listings
  • Maintain showing logs and listing files
  • Schedule and attend on-site property inspections with clients and vendors
  • Keep homeowners up to date about their showings and any feedback that is received
  • Oversee the processing of sales in the database, auditing and maintaining the related transactions file
  • Review all documents to verify correct signatures and dates
  • Follow up with clients and prospects with excellent customer service
  • Understand the contracts in order to summarize all important terms, conditions, and contingency dates
  • Communicate with the agent several times throughout the transaction including all important dates, missing documents, calendar reminders, file compliance status, etc.
  • Communicate regularly with the client to send them reminders, check in, and let them know what to expect in each step of the closing process
  • Establish relationships with all third parties including lenders, inspectors, appraisers, and all agents in order to ensure a smooth closing process and share relevant information
  • Draft any addenda needed along the way and keep a record of them on file and ensure they are shared with relevant parties
  • Be the first point of contact/resource for all questions that arise throughout the closing process from agent (and client, attorneys, lenders, appraisers, other transaction coordinators/Realtors, etc.)
  • Stay in good communication with the agent if any issues arise that they need to handle or negotiate
  • Coordinate closing date, time, and location and notify all parties
  • Notify client about utility accounts to set up/cancel
  • Put together the closing file for the agent including any documents needing signatures/initials/dates, commission amount for the check to bring back, and any other documents needed from closing
  • Close out the file after the closing including changing the MLS status to closed for our listings, double-checking the file, making an electronic copy of the ALTA, and processing the check
  • Follow up with clients after the sale to check in and request a testimonial
Qualifications
  • Must have prior Real Estate, Transaction Coordination, Titles or Mortgages experience preferred
  • Independent and self-motivated
  • Motivation to provide excellent customer service and experience
  • Able to convey written and verbal information to customers and agents clearly and accurately
  • Can handle difficult situations and customers with grace
  • Experience and knowledge of MLS is extremely helpful
  • Accurate and attentive to detail
  • Real Estate License preferred
Compensation
$30,000 - $40,000
