Bookkeeper, Executive Assistant, and Office Manager – all in one! 

Who You Are:  

Executive Assistant — You will be an indispensable assistant to the principals in the firm, providing every kind of administrative support: Calendar management, phone and email management, arranging schedules, making appointments, calling clients and prospects, running errands—basically, everything that can be delegated, so we can focus on the business. You are able to collaborate, take instructions, anticipate our needs, and work independently. You will develop relationships with our clients and affiliates, as well as engage with local government agencies. You are good at conducting research and effectively compiling and presenting your findings.

Bookkeeper — You’re a trained bookkeeper, preferably with experience in the construction trades. Expert with QuickBooks on Mac or PC. The complete bookkeeping skill set is listed below.

Office Manager — You have the ability to create an organized and orderly work environment. You should be technologically savvy and able to learn new applications, able to troubleshoot common issues in a Mac-centric office. You are client-focused with excellent communication skills, and will serve as gatekeeper and the first point of contact in handling customer inquiries or complaints. This will include connecting with people of all kinds, both verbally and in writing. Excellent communication and client service skills are a must—you are articulate and good at writing (and grammar!).

Interested in Real Estate:

You are interested in the world of real estate investment, and want to learn more about it for your personal and professional development by reading assigned books, recordings, videos, articles, etc.

This is a biggie. We’re looking for someone with a positive, can-do, “no job too small” attitude who’s enthusiastic to learn all aspects of the business. You’re self-motivated, a problem solver, with exceptional attention to detail and you enjoy delivering results, not just performing tasks. You genuinely like helping others and take pride in your work. You can be flexible with your time—while we try to keep normal office hours, stuff happens. Responsibilities

Here are some of the skills and duties required:

Bookkeeping

  • QuickBooks on Mac or PC 
  • Data entry deposits 
  • Bill pay 
  • Reconcile 
  • Prepare construction draws 
  • Work closely with our CPAs 
  • All state and IRS filings 
  • Payroll audit preparation (insurance and other) 
  • Track insurance policies 
  • Look for ways we can save money 
  • Process I9s, 1099s, etc.
 

Executive Assistant 

  • MS Office: Word, Excel, Acrobat, Skype, Zoom 
  • Maintain contact database and office calendar in Google Calendars 
  • Write emails and thank you notes 
  • Order flowers/gifts for clients 
  • Pickup and deliver packages 
  • Coordinate with property management team 
  • Make travel arrangements 
  • Manage credit card use and points 
  • Scan, file, and office organization 
  • Personal errands and to-do items for principals 
  • Coordinate company events 

Other skills a plus to have: 

  • Property management 
  • Marketing tech savvy with printers, online services, social networks, etc. 
  • Good photography skills a plus 
  •  Spanish language 


Qualifications

  • 4+ years’ Executive Assistant experience  
  • University or college degree  
  • You have an entrepreneurial spirit—you love to embrace new opportunities and make things happen and thrive in a fast-paced, constantly evolving environment  
  • You are confident, intelligent, dedicated, and focused on making improvements and reaching out for new solutions
  • You are adaptable and flexible, with a sense of humor
  • You are proactive and resourceful—you take the initiative to ask, learn, and make things happen
  • You are a detail-oriented planner—you look ahead and stay on top of things
  • You have an ability to see “the big picture” while staying aligned with the company vision
  • You are able to handle multiple requests, prioritize, and respond quickly and efficiently


Compensation
$55,000+ Commensurate with experience.
About Build with Style, Inc
Build with Style is a small efficient team. We currently have 3 full-time employees and are looking to add a fourth team member. 

We buy real estate in the wonderful neighborhoods in and around Seattle.

Whenever possible, we hold onto the properties we buy, renovating them, and caring about them for the long haul. Sometimes we buy single-family homes, remodel them, and then sell them to a new family to enjoy. We also develop under-used lots into row-houses or mixed-use buildings. As local residents who care deeply about our community, we invest a lot of time and effort into our properties. 

Whether it’s a small home or commercial property, you’ll find that we’re hands-on and hard-working. We manage our own construction sites and do our own property management.
