Our busy regional law firm is looking for a Billing Specialist who loves digging into detailed work that can help our billing attorneys revise, process, and issue accurate client invoices every month in a timely manner. The Billing Specialist is responsible for managing the Firm’s processes and systems related to timekeeping, billing, retainer replenishment, accepting payments, and collections of accounts receivable. Experience in high-volume accounts receivable with consistent follow-up is a plus! Job seekers should have at least 2 years of billing experience with the billing process, be meticulous and organized, and thrive in a fast-paced work environment. The Billing Specialist works directly with Firm attorneys to monitor billed time and ensure client invoicing is timely and complete. This role also works with clients to obtain payments and must have excellent customer service skills. This position is non-exempt and reports to the Firm Manager and Director of Administration.   • Assess accounts receivable reports for past due balances owed and follow up with clients on when payments will be made
  • Apply incoming payments to the correct accounts and keep accurate financial records

  • Revise invoices in accordance with attorney requests and prepare final invoices
  • Issue invoices to billing attorneys for initial review on a biweekly basis
  • Work with the clients to resolve any billing inquiries and process payments
  • Review case management system daily to ensure appropriate standard fees are billed (family or elder law experience a plus)
  • Daily reconcile case management system, accounting system (QuickBooks), deposit logs, and bank accounts
  • Advise Firm Owner, Director of Legal, and Director of Administration of clients with aging accounts receivable and provide input into case withdrawal decisions when appropriate
  • Work with Firm Bookkeeper to generate reports for productivity, billed and collected funds, accounts receivable, profit and loss, and to finalize accounting system at month-end

  • A high school diploma or equivalent is needed; some college is an asset
  • Meet deadlines while handling multiple projects at a time
  • Advanced computer proficiency, especially with MS Office, Excel, and billing software programs
  • Excellent written and verbal communication skills and organizational skills are needed in this role
  • At least two years’ experience working in a law firm environment as a billing specialist
$40,000 DOE
