Master Repair Services is a mid-sized maintenance and construction company located in the Point Breeze neighborhood of Philadelphia. Our office is in a large, modern, open workspace environment with OCF Realty.

We are looking to immediately fill the position of Billing Coordinator. The role of Billing Coordinator supports the owner in the daily operations and is a full-time job with hours of 8:30 to 5:30, Monday through Friday.

Responsibilities

Essential Functions:

  • Daily review of completed service tickets, closing service tickets and processing invoices to clients
  • Collect all information needed to calculate bills receivable (order amounts, timesheets, parts receipts, discount rates etc.)
  • Confirm all labor and parts are accounted for on service tickets by reviewing scope of work, quotes, credit card purchases, and tech notes prior to invoicing
  • Coordinate with owner, scheduler/dispatcher, and/or technicians to ensure proper documentation support is provided
  • Work with different portals for invoice submission including, but not limited to mHelpdesk and Quickbooks
  • Reconcile credit card statements and store account statements for parts purchased and bill appropriately
  • Issue invoices for all repairs and sync them to Quickbooks
  • Upload vendor and subcontractor invoices into mHelpdesk and Quickbooks weekly
  • Check the data input in the accounting system to ensure the accuracy of the invoice
  • Manage account balances to discover outstanding debts or other inconsistencies
  • Answer questions and handle complaints from clients regarding billing

Qualifications

Education, Experience, and Skills required:

  • Proven experience as a billing administrator or general accounting experience
  • Proficient in Microsoft Suite and G Suite
  • Quickbooks experience preferred
  • Excellent math ability
  • Strong organizational skills
  • Excellent communication skills
  • An associate's degree is required
